Children's Medical Center is a busy general pediatric office that has serviced our communities for over 27 years. We have 4 locations and offer great benefits including paid time off, health, dental, vision, life, and long and short-term disability insurance.

We also offer 401K and profit sharing after one year of service and opportunities to grow within the organization. We are looking for a team member who can serve in a full-time Receptionist position.

The Receptionist is a member of the Patient Centered Medical Home Team and provides administrative support to the patient and family and other care team members to ensure smooth patient workflow and quality patient care.

Hours include evening and weekend shifts on a rotated basis

SPECIFIC DUTIES AND RESPONSIBILITIES :

  • Answers and routes phone calls to appropriate staff members.
  • Schedules appointments.
  • Documents reason for appointment.
  • Acknowledges patients and family promptly and courteously upon arrival for appointment.
  • Checks in / arrives patient in timely manner.
  • Updates provider of record / preferred PCP
  • Preregisters new patients and updates demographics and insurance on established patients.
  • Verifies insurance and financial responsibility.
  • Updates preferred pharmacy.
  • Updates email address and registers guardian for portal access.
  • Receives and scans patient forms and records in EHR.
  • Documents special language and communications needs, e.g. sign or language interpreter needed.
  • Makes arrangements for interpreter in advance of appointment if needed.
  • Reviews and acts on any Care Coordination alerts / pop-up messages in EHR, e.g. special pre-visit screening that need completing.
  • Instructs patient / family on forms completion.
  • Collects copay and prior balance and / or makes payment arrangements.
  • Assists families with straightforward billing questions.
  • Confirms appointments for next day.
  • prepares daily reports and deposit slips.
  • Monitors reception room and keeps patients informed of delays.
  • Tidies up reception room throughout the day.
  • Adheres to safety, infection control, environmental and patient confidentiality policies.
  • Processes medical record releases requested by parent / family.
  • Prints chart documentation requested by parent / family.
  • Processes return to / absence from school forms.
  • Performs other duties as assigned.

Exemplifies excellent customer service, verbal communication skills, conflict resolution with patients / parents / guardians, visitors, and other employees;

shows courtesy, friendliness, helpfulness, and respect.

  • Relates well and works collaboratively as a team member with, all levels of staff in a professional manner.
  • Attends daily huddles, weekly and monthly staff meetings.
  • Consistently alters plans / routines when situation requires and continues to perform without projecting stress / frustration that would adversely affect the work environment.
  • Maintains and ensures patient privacy and confidentiality.
  • Takes the initiative to proactively assist other Receptionists without direct supervision and to resolve problems.
  • Maintains open and effective communication with providers and employees to ensure quality patient care.
  • Knowledge of CPT, ICD coding, insurance plans, eligibility, and benefits.
  • Strong phone, spelling and grammar, computer and keyboarding skills.
  • Maintains professional appearance and neat work habits.
  • Participates in ongoing skills development.

ESSENTIAL FUNCTIONS :

  • Ability to work at a computer terminal for extended periods of time on a daily basis.
  • Physical requirements for this position include : hearing, seeing, speaking, feeling, reaching, pinching, bending, stooping, standing, sitting, walking, computer keyboarding, 10-key, phone operation, and repetitive motions.
  • This position requires sitting for long periods of time. Walking and / or standing is required routinely.
  • This position requires exerting up to 25 pounds of force in order to lift, carry, pull, or move objects.

QUALIFICATIONS :

  • Education : Minimum high school diploma or equivalent.
  • Experience : 1-2 years experience in the medical or customer service field preferred.
