Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.*What’s a typical day as an Administrative Assistant : Assists the company Senior Vice President with administrative functions.
- Attends the reception of visitors and the company incoming calls. * Assists with administrative functions of the various divisions in the areas of Export Traffic, NVOCC Traffic, Import CHB, Logistics, Transportation, data entry, customer service, etc.
- Attends high volume of incoming telephone calls for the department manager and directs / delivers them as necessary.* Assists with managing office and warehouse supplies and serves as a liaison with the procurement division.
- Assists with the Marketing supplies, inventory controls, and distribution of same. * Liason’s with the Sourcing & Facility Division to address facility matters.
- Produces photocopies and performs filing as required by supervisor and follows up with contacting party to assure receipt of such.
- Receives and distributes correspondence.* Prepares reports requested by the department manager, where information may be obtained from a variety of sources.
- Type’s letters and memoranda as requested by supervisor.* Maintains and updates departmental filing system.* Works on special projects as assigned by supervisor.
- Perform additional related duties as assigned. *This job might be an outstanding fit if you : One (1) year of experience in an administrative support function.
- Strong organizational skills, ability to multi-task and prioritize.* Intermediate PC skills in programs such as MS Word, Excel and Outlook.
- Must be able to communicate at an advanced level in English and intermediate to advanced level in Spanish.* High School diploma or equivalent.
- Strong time-management and organizational skills. Must be able to prioritize and be detail oriented.* Ability to work with limited supervision, multi-task and possess strong initiative.
- Ability to think logically and follow procedures and instructions.* Ability to establish and maintain effective working relationships with customers and fellow employees.
