Job Title : Director of Facilities and Summer Conferences

Reports To : Regional Vice President

Salary : $110,000-$130,000 per year and a comprehensive benefits package

Location : Massachusetts College of Art and Design

FLSA Status : Exempt

Summary

The primary responsibility of the Director is the overall maintenance of the college student housing community, management of campus parking, and implementation of the summer conference housing program.

Areas of responsibility include, but are not limited to, fiscal oversight; interpretation and enforcement of policies; management of summer conference program;

implementation of campus parking policies; service desks and management of third-party security vendor; and management and supervision of employees.

The Director is on call 24 hours per day, 7 days per week.

Essential Duties and Responsibilities

  • Oversee and implement facilities maintenance plan, including preventative maintenance schedule and capital projects
  • Oversee and implement an Emergency Weather Response Plan, with specific attention to a Snow Management Plan that accounts for safety and the operations and schedule of the college.

Responsible for snow plowing and removal from parking lot and sidewalks surrounding all residential buildings, as well as response to any other weather emergencies

  • Review and audit work orders for completion, accuracy, and quality of work
  • Review and audit work completed by vendors for completion, accuracy and quality of work
  • Engage with Assistant Director of Operations to develop a student-centered approach to managing work orders and repairs throughout the building, as well as in damage billing processes
  • Analyze maintenance trends and develop proactive plan to address concerns
  • Assess buildings’ conditions and make recommendations for long term capital improvements
  • Ensure contract compliance and service standards meet college and student expectations at the facility level
  • Update and implement annual Sustainability Plan in collaboration with MassArt staff
  • Coordination of capital projects in conjunction with Owner group made up of Mass State College Building Authority and MassArt staff.
  • Update, maintain and implement Emergency Protocol Manual
  • Ensure compliance with state and city regulations
  • Oversight of summer turn process to ensure rooms are ready for all summer guests and academic year residents.
  • On site coordination, communication and liaison with representatives from MassArt (college) and Building Authority (owner)
  • Provide solution-focused leadership in the supervision, hiring, and training of staff. Direct supervision of Assistant Director of Operations, Assistant Director of Facilities, Housing Coordinator, Housekeeping Supervisor and Office Coordinator;

and indirect supervision of 3 maintenance technicians, 6 custodians and 1 parking lot attendant

  • Demonstrate responsiveness to feedback, and a continuous improvement leadership style that drives performance and accountability
  • Fiscal oversight of three operating budgets, one per building
  • Assist Assistance Director and Housing Coordinator in the implementation of summer conferences housing program including maintaining financials, creating marketing and outreach opportunities, overseeing housing assignments and coordinating dining plans
  • Generate regular financial and maintenance reports
  • In collaboration with Public Safety and Human Resources, implement parking management in accordance with campus union contract and established priorities
  • Oversee all aspects of campus parking processes including lottery system, guest parking, Special Events parking, and alternate planning in collaboration with Assistant Director of Housing Operations and Housing Coordinator.
  • Create and maintain Procedures Manual, Security Plan, Parking Management Plan
  • Responsible for overall office management
  • Assist with student programming as needed
  • Other duties as assigned

Supervisory Responsibilities

  • Manages subordinate supervisors who supervise employees in the areas of Maintenance and Operations. Is responsible for the overall direction, coordination, and evaluation of these units.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees;

planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Qualifications

  • Bachelor’s degree
  • Minimum of 7 years of experience in property management, facilities management, or related field.
  • Previous experience gathering and analyzing data, creating reports, managing facilities, and managing budgets.
  • Experience with Microsoft Office, property management software, and work order management systems
  • Experience supervising full-time facilities staff members.

Preferred Requirements of Position :

Experience working with a variety of building systems (specifically, Johnson Controls (JCI), Metasys, Armstrong, Siemens, and Automated Logic), implementation of capital projects, development of maintenance reports and presentation of results to constituents, and experience in student housing, or in a higher education, or medical environment.
