Position Overview :
Our client isseeking an experienced detailoriented and highly organizedAdministrative Assistant to support their legal team in theirSarasota office.
The ideal candidate will have previous law firmadministrative experience specifically in trusts estate planningand probate matters.
This position will be assisting the firm withpreparing documents related to trusts estate planning and probateso previous experience is required.
The ideal candidate will alsohave excellent organizational skills the ability to multitask and acommitment to exceptional client service.
This position will handlea variety of tasks ranging from administrative to client facingduties. The position requires a strong focus on providingsophisticated legal administrative support.
Responsibilities (include but arent limitedto) :
Assist with thepreparation of probate trust and estate plan signings anddocuments.
Provide generaladministrative support such as answering phones greeting clientsand handling incoming and outgoing mail.
Prepare proofread and format documents and correspondencewith accuracy and attention to detail.
Assist inadministrative financial record keeping.
Providereception desk coverage for short periods of time on an as neededbasis.
Manage and coordinate schedules includingappointments meetings and any other arrangements asneeded.
Assist in maintaining electronic andphysical filing systems ensuring documents are organized and easilyaccessible.
Assist with billing and invoicingprocesses including time entry and client billinginquiries.
Provide training support for otherassistants within the firm as needed.
Performother duties specific to the role as assigned.
Qualifications :
High school diploma or equivalent required; associate orbachelors degree preferred.
A minimum of 3 yearsof experience in professional services setting or law firm settingpreferred.
Strong organizational skills with theability to prioritize tasks and manage multiple deadlineseffectively.
Excellent written and verbalcommunication skills with a keen eye for detail.
Strong client service skills and experiencetraining / mentoring colleagues.
Advanced computerskills including experience with Microsoft Office (Word OutlookExcel PowerPoint) Adobe or similar / equivalent PDF program awillingness and ability to learn different technologies andsoftware as needed.
Ability to maintainconfidentiality and handle sensitive information withdiscretion.
