Description
This is a contract opportunity only . As a Virtual / In-Person Event Coordinator contracting with our Allen, TX office, you will develop and execute marketing plans for event opportunities such as virtual events, trade shows, corporate events, sponsorships, and webinars in support of Anritsus leadership position, lead generation, revenue growth and brand awareness through event activity.
This position is a hybrid position and will report to the Sr. Manager of Marketing Programs based in Allen, TX
Key Responsibilities include :
Virtual Events
- Act as point of contact and manager for the virtual trade show platform
- Coordinate platform support for live events and online chat
- Define deliverables and timelines
- Collect and manage all content, including videos, app notes, white papers, brochures, etc.
- Ensure optimal platform UX
- Work with marketing peers to formulate digital communications plan that includes owned and paid platforms
- Coordinate metrics tracking and reporting with Salesforce / Pardot team
- Manage webinar platform WebEx
In-Person Events
- Manage all pre-event and on-site services with trade show vendors including space selection, electrical, shipping and drayage, rigging, material handling, etc.
- Manage and communicate with stakeholders sponsorship, speaking and promotional opportunities
- Manage graphics, layout and overall booth design for each event, developing final drafts and documents for publication
- Coordinate the hotel room requirements, demo equipment requirements, promotional items and booth staffing
- Select and manage event appropriate vendors from bid solicitation and event registration to billing and payment
- Ensure all customer touches are effectively captured and communicated expeditiously to the appropriate sales channel
Corporate Events
- Oversee and manage all meeting planning and execution for corporate events. Meetings include, but are not limited to, corporate conferences, leadership meetings, team meetings, company-wide events, and co-sponsored meetings with other companies
- Manage full service pre-event and on-site planning logistics for meetings including, but not limited to site selection, transportation / manifest management, attendee registration, rooming list management, meeting facilities, food & beverage, audio / visual, room set up, dcor, event themes and creative and content management
- Organize logistics for guest speakers and / or entertainment, including contracts, pre-conference meetings, transportation, presentation materials and payments
- Coordinate the production of meeting materials, branded items, gifts, and promotional items
Overarching
- Develop event objectives with key stakeholders, then create event plans and budgets in accordance with objectives
- Accurately forecast annual event costs and manage fiscal year events budget. Actuals within 5% of forecast
- Measure ROI and conduct post-event cost versus benefit analysis and determine areas for improvement
- Maintain and publish an 18-month rolling event plan.
- Develop event overview content. Maintain website presence and marketing / sales event calendars
- Support event internal / external communication plans
- Pre- and post-event content management
- Personally attend and manage all large and some smaller events to ensure excellence and improvement.
- Travel 10-15%
Requirements :
- 3+ years of experience managing multi-day virtual events, physical events, and large corporate conferences
- Knowledge and experience with online event platforms and tools for digital, live-streamed, and in-person events.
- Experience working in both digital and in-person event environments, with in-depth knowledge in managing internal and external production teams
- BA / BS or equivalent working experience
- CMP or other industry certification is a plus
- Travel up to 10%
