Job Title : Administrative Assistant (PT / Temp) (25 hours per week)

Department : Student Engagement

Division : Student Affairs

FLSA Status : Non-exempt

Grade : 3

Work Schedule : 25 hours / week

Hourly Range : $ - $

Reports to : Director of Student Engagement

General purpose : The Temporary Administrative Assistant is an important position during a transitional time in the Center for Student Engagement (CSE) within the division of Student Affairs at the Maryland Institute College of Art.

Interpersonal skills and attention to detail are critical to this position. The Administrative Assistant will have a high level of daily interaction with MICA’s diverse and exciting student population as well as various staff and faculty across campus.

Position responsibilities :

Maintain a high level of communication with MICA’s student population, and foster relationships with the students who actively use the office

Serve as the office receptionist, which includes answering phone calls, general e-mails, and screening incoming mail. Act as a pleasant and helpful resource to the MICA community

Supervise and train up to fifteen work-study students, including oversight of project assignments

Processing bi-weekly timesheets for CSE student leaders

Enforce and manage campus-wide posting policy

Coordinate and schedule room reservations for CSE events

Write and send the CSE Monthly Newsletter

Manage the Meyerhoff promotional television screen

Submit the VISA credit card report on a weekly basis

Attend bi-annual retreats and weekly CSE team meetings & 1 : 1 check-ins

Update and monitor the overall CSE budget

Maintain, inventory, and manage reservations for event supplies, equipment and office supplies.

Act as a reliable source of information about events, policies, and procedures to the general student body, MICA staff and faculty, and parents

Provide event support to office campus events, as needed (included but not limited to : Orientation, Commencement, Last Blast, and Halloween Party)

Perform other related duties as assigned

Essential skills and experience :

Associate's degree

Excellent verbal and written communication skills

Proficiency with Google Suite, Airtable, Slack, and Jotform

Ability to work independently and as a part of a team

Sensitivity to and interest in the unique concerns of art students and the studio experience

Excellent organizational skills with the ability to exercise initiative and plan ahead

Familiarity with the MICA Center for Student Engagement

Valued but not required skills and experience :

Experience with budgets or finances
