Job Summary
Provide promotional, administrative, performance assessment, and financial / accounting services in support of assigned program(s) within a research center, academic unit, or other campus units of a school.
These functions may encompass a variety of activities related to program success including coordination of program marketing, program administration, program operations, and program development.
This position will interact on a consistent basis with : research, academic and administrative management and staff with a school or center and across campus, vendors and sponsors.

Responsibilities
Job Duty 1 -
Design / develop promotional and marketing materials to include those developed for specific target audiences in support of program outreach efforts.
Job Duty 2 -
Plan, schedule and coordinate promotional events.
Job Duty 3 -
Coordinate administrative activities associated with program operations such as procurement, records maintenance, compliance, meeting arrangements and minutes, and document preparation.
Job Duty 4 -
Develop, analyze, reconcile and report financial data related to program operations.
Job Duty 5 -
Develop and maintain performance assessment tools applied in program review to measure and report progress.
Job Duty 6 -
Collaborate with internal and external entities to aid institutional or program support.
Job Duty 7 -
Perform other duties as assigned
Required Qualifications
Educational Requirements
Bachelor's Degree or an equivalent combination of education and experience
Required Experience
Four to six years of job related experience

Responsibilities
Coordinates primary administrative support for Sr. Director (maintains calendar, assists with meeting planning and support, travel arrangements, and other admin duties);
coordinates administrative; event / meeting planning, purchasing, and related support to OVPUE staff.
- Manages search processes (serves as search support) for leadership searches (Director / Exec Director; Assoc. / Asst. Director (coordinates procedure guidelines for OUE searches).
- Oversees staff welcome and onboarding / offboarding processes; works with the Asst. to the VPUE to plan new staff meetings w / OVPUE;
new staff semester welcome lunch w / VPUE; and regular OVPUE lunch / coffees for new staff.
- Oversees Staff Engagement initiatives for OUE; Serves as ex officio / committee support for Employee Engagement & Culture Committee.
- Manages OUE-sponsored staff / faculty awards process.
- Manages OUE's external review process (e.g., external visit planning, coordinating travel, and related duties).
- Develops and implements plan for staff work anniversaries and other celebrations.
- Plans OUE town halls and other staff appreciation and recognition events.
- Plans OUE holiday and other events.
- Generates content for social media and newsletter and other OUE publications to support staff engagement and development.
- Serves as back up for executive support to VPUE as needed (travel, calendar).
Preferred Education :
Master's degree in business administration, Higher Education Administration, Student Affairs, Leadership Development, or a related field strongly preferred
Preferred Qualifications / Skills :
- Event planning experience
- Outstanding organizational skills and ability to prioritize and multi-task in a fast-paced environment
- Professional experience in a research university setting
- Advanced MS Office knowledge and skills : Spreadsheeting, Power Point, Document Management
- Advanced written and oral communication
- Project Management

Note on Working Time
This position must be available to work standard GT business hours M-F, 8-5 (or 7-4 or 9-6), as well as some evenings as weekends based on student programs and with advanced notice.
The first 3-6 months of employment are fully in-person / on site. Following this, some telecommuting will be available in accordance with OUE's guidelines.

Knowledge, Skills, & Abilities
SKILLS
This job requires working knowledge of research program promotion and administration. Included are skills in development and administering program assessment tools, marketing, and financial analysis and reporting.
Also required are skills in planning, organization, spoken and written communications, scheduling and customer service. Use of office and specialized computer applications and databases are required.

Salary Range $53,687 - $73,016
Salary will commensurate with experience and education.
