DEPARTMENT OVERVIEW

Join the Residential, Retail and Supply Chain Services (RRSS) team at UC San Diego, a dynamic and innovative campus department dedicated to delivering exceptional service to the university community.

As a valued RRSS team member, you will be contributing to a broad and complex organization consisting of five key units : Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC).

With a focus on innovation and customer satisfaction, RRSS aims to inclusively meet the diverse needs of the UC San Diego community while fostering a sense of belonging for our students and staff.

As a member of the HDH team, you will be part of a self-funded unit with over 900 staff employees, 1,000 student employees, and an annual operating budget of $250 million, providing housing and dining services to over 20,000 students, faculty, staff, and their families.

Position Overview

The Assistant Director of Operations for Building and Custodial Services, under the direction of the Director of Building and Custodial Services, is independently responsible for management of the on-campus custodial team.

Receives department assignments in the form of objectives and determines how to use resources to meet schedules and goals.

The incumbent serves as a part of the Building and Custodial Services management team and is responsible for ensuring open communication within their division and the department.

  • This includes participation in work groups and campus committees. Full authority for the following : formulation of short-and long-range planning for Building and Custodial Services and provides input on department short and long range planning;
  • development, interpretation, revision, and implementation of policies, procedures, and guidelines for Building and Custodial Services;

recommends changes to policies and established procedures that affect the department. Responsible for the formulation, submission, and management of annual operating budget of approximately $8.

7 million, for their assigned area, and ensures that these budgets are in compliance. Responsible for Building and Custodial Services monthly and annual operating reports for their assigned areas.

Acts in the absence of the Director of Building and Custodial Services as assigned.

The Assistant Director if Building and Custodial Services is independently responsible for overseeing administration and management of custodial services.

Directs a diverse staff of approximately 131 full time staff and between 15 and 150 temporary seasonal staff representing many cultures and languages.

The staff services an area approximately 3 million square feet of off or on campus residential spaces, administrative office spaces and dining facilities providing daily cleaning to public and private spaces as well as conducting turns in vacated apartments seven days a week.

Customers include a diverse population of undergraduate students, graduate students, conference guests, faculty and staff living in the apartments, and staff in various HDH locations.

Coordinates with external vendors to determine that all work performed is in accordance with the standards of performance and specification.

The Assistant Director works on issues of diverse scope where analysis of situation or data requires evaluation of a variety of factors, including an understanding of industry best practices.

Acquires sources of financial, organizational, and purchasing related information from a variety of campus and external sources to be analyzed and used to develop budgets and administrative business procedures for the Building & Custodial Services area.

Analyzes financial and purchasing actions and agreements, staff work schedules, and personnel procedures. Manages the supply and equipment inventories.

Represents the division in the areas of public relations and informal conflict resolution. Responsible for providing and / or coordinating a variety of HR related services including employee relations, establishing performance standards, training and development, and incentive program activities for Building & Custodial Operations.

This includes consulting with fellow managers on their needs, analyzing, designing, developing, implementing and evaluating organizational and HR related programs and projects.

Independently provide consultative services in divisional administrative matters to supervisors. Identify problem areas and develop and implement innovative solutions.

Follows policy and safe operational policies in selecting methods and techniques for obtaining results.

QUALIFICATIONS

Working knowledge of custodial and housekeeping services including knowledge of codes and policies governing bio hazardous and / or hazardous waste.

Demonstrated leadership, supervisory, and consensus-building skills. Ability and experience to identify training and development needs, evaluate workloads and resources, and planning and organizing day-to-day activities.

Demonstrated knowledge of fiscal management including budget development.

Demonstrated knowledge of human resources management and staff development. Ability to manage staff with diverse skills.

Experiential knowledge in human resources management, business management, facilities management, and training or an equivalent combination of education and strong demonstrated management experience, preferably in a college or university setting.

Ability to implement process improvement strategies and quality initiatives.

Strong written and verbal communications skills with the ability to present information to diverse audiences.

Proven analytical and problem-solving skills with the ability to identify and implement effective solutions.

Demonstrated ability to build effective working relationships with senior management and staff.

Ability to use sound judgment in responding to issues and concerns. Proven ability to exercise tact, resourcefulness, good judgment, understanding and persuasion in interacting with a diverse population.

Ability to negotiate and arrive jointly at decisions, conclusions, or solutions.

Solid organizational skills and ability to multi-task with demanding timeframes. Demonstrated ability to work efficiently in a busy, service-oriented atmosphere with frequent interruptions, varied work assignments, and fluctuating priorities while meeting multiple deadlines.

Working knowledge of common organization-specific and other computer application programs. Demonstrated knowledge and ability to use personal computers and various software applications.

Proven ability to develop, implement, and evaluate procedures.

SPECIAL CONDITIONS

Job offer is contingent upon satisfactory clearance based on Background Check results.

Must have a valid California Driver's License and maintain a good driving record.

Overtime and weekends may be required.

Operating needs of the department require varied work schedules (i.e., a.m., p.m., and / or weekend shifts and / or 10 hour workday).

Employees may be required to take off (vacation or temporary layoff) during scheduled operational shutdown periods, such as Christmas.

Must be able to travel occasionally to attend meetings, conferences and training seminars.

Pay Transparency Act

Annual Full Pay Range : $77,000 - $139,200 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent : $36.88 - $66.67

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.

The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position.

The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
