About the role
- CBH of VA is seeking a responsible and detail-oriented Administrative Assistant to support our managers and employees while ensuring the smooth day-to-day operations of our office. In this unique role, the Administrative Assistant will also be required to be a Certified Medication Technician, combining administrative and clinical support responsibilities. Duties will include making travel and meeting arrangements, preparing reports, maintaining organized filing systems, assisting with scheduling, and managing general office needs. In addition, this position may involve providing medication administration support in accordance with state certification requirements. The ideal candidate will have excellent oral and written communication skills, strong organizational abilities, and proficiency with Microsoft Office tools such as Excel, Word, and Outlook, as well as office equipment. Previous experience as a Secretary, Administrative Assistant, or Executive Assistant is required, and familiarity with the healthcare or corrections industry is strongly preferred. Ultimately, we are looking for a reliable professional who can balance administrative tasks with certified medication responsibilities to ensure efficiency and success across our team.
What you'll do
Answer and direct phone calls; serve as point of contact for staff, clients, and visitors.Organize schedules, coordinate meetings, and prepare accurate meeting minutes.Draft, review, and distribute correspondence, reports, and forms.Maintain filing systems, office policies, and contact lists.Manage payroll preparation, expense reports, and monthly statistics for HSA review.Order and manage office supplies and coordinate vendor relations.Provide administrative support to executives and assist with special projects as needed.Perform other duties and responsibilities as assigned.Qualifications
Proven experience as an Administrative Assistant or Office Administrator.Certified Medication TechnicianExperience with Medicare enrollment processes.Knowledge of office management systems and procedures.Proficiency with office equipment (e.g., printers, fax machines, scanners).Strong computer skills, including MS Office Suite (Excel, PowerPoint, Word, Outlook) .Excellent time management and organizational skills with the ability to prioritize and multi-task.Strong attention to detail and problem-solving abilities.Exceptional written and verbal communication skills.High school diploma required; additional qualifications as an Administrative Assistant or Secretary preferred.Benefits :
