The UHS Acute Care Division is hiring an Executive Assistant to provide administrative and secretarial support to the Senior Acute Division Leadership in order to maintain and enhance information management and communication in accordance with corporate office support procedures and practices.
Key Responsibilities include : Facilitate communication between Acute Care facilities and Corporate office to access information, share resources and provide support.
Request, collect, and compile information from Acute Care facility management as requested by the Acute Co-Heads. Screen, redirect or respond to all of manner of inquiries Generate reports or summaries of information on a prescribed periodic or as requested basis.
Serve as an information resource to facility or Corporate personnel as required Establish updates and maintain all required records and information files, whether by electronic or manual means, such as expense reports, budgets, salary actions, etc.
Type correspondence, reports, etc. Copies materials. Sorts and distributes mail. Takes meeting minutes. Provides business guest courtesy functions such as arranging lunch and dinner reservations Coordinate travel and lodging arrangements.
Coordinate on-site and off-site meetings, which includes venue, invitations, meeting materials, lodging and reservations, special events, audio-visual equipment, catering, and cost tracking Qualifications Associates degree preferred with 5 - 8 years' experience in an executive support role.
Demonstrated working knowledge of practices related to general office administration and secretarial functions such as record maintenance, travel, reporting, communication, business etiquette, typing, mail services, office equipment requirements and maintenance, and office supplies Working knowledge of electronic mail, word processing, databases, electronic spreadsheets and related PC based operating systems such as MS Windows and Office.
Normal office equipment such as telephones, copiers, printers, etc. Able to communicate effectively with senior management and facility executives.
