Schedule : M-F, 8 : 00 am - 5 : 00 pm. Flexible Schedule available after 90 days

As a Project Administrator Your Average Day will Include :
Project Administration :
- Assist and take direction from the Administrative Services Manager and AMS Leadership.
- Provide coverage for the Administrative Team during absences, ensuring seamless operations.
- Monitor team schedules and proactively address coverage needs.
- Manage and audit task lists, assigning and completing tasks as required.
- Support operations by executing special projects as requested.
- Provide backup for invoice approvals and vendor setup processes.
- Organize and maintain electronic filing systems and records.
- Interact professionally with clients, customers, and co-workers, maintaining strong public relations.
- Track a minimum of 75% of billable and non-billable time worked.
Accounts Receivable / Payable (AR / AP) Activities :
- Scan checks to the bank as needed.
- Process cash receipt transactions and update computer files.
- Input recurring charges on resident ledgers and manage new owner coupon orders.
- Prepare and edit monthly, quarterly, and annual late fee processing according to association guidelines.
- Process AP activity through Strongroom (3rd party integration).
- Assist homeowners with payment inquiries and online / phone payments.
- Prepare invoices, account statements, and reports for Association transactions.
Accountant Support Activities :
- Coordinate monthly Timeslips billing.
- Maintain a list of stale-dated checks and process notices to clients.
- Communicate professionally with Association representatives regarding transactions.
- Perform additional tasks as requested, in line with job qualifications.
