Summary We are seeking a highly organized and proactive individual to join the Business Operations team. As an Executive Assistant, you will be a crucial support figure for executives, senior management, or other high-ranking individuals within the organization.
Your role involves providing administrative assistance, managing schedules, coordinating meetings, handling communication, and ensuring smooth operations within the executive office.
The ideal candidate will be highly organized with attention to detail, and the ability to appropriately prioritize tasks in accordance with business needs.
This position will require an individual that embraces change and thrives in a dynamic work environment.

Responsibilities
1. Calendar Management : Maintain and organize complex calendars, including scheduling appointments, meetings, and conferences, while prioritizing conflicting demands.
2. Communication : Act as the primary point of contact for internal and external stakeholders, managing emails, phone calls, and correspondence on behalf of the executive.
3. Travel Coordination : Arrange travel itineraries, including flights, accommodations, and transportation, ensuring efficient scheduling and seamless logistics.
4. Meeting Coordination : Plan and coordinate meetings, including preparing agendas, booking venues, arranging catering, and distributing relevant materials.
5. Documentation and Filing : Manage and organize documents, reports, and files, ensuring accuracy, confidentiality, and easy accessibility.
6. Information Management : Conduct research, compile data, and prepare presentations or reports as required, utilizing various software tools and databases.
7. Task Prioritization : Assist in prioritizing tasks and managing workflow to ensure deadlines are met and objectives are achieved.
8. Support Office Management : Oversee the smooth operation of the executive office, including ordering supplies, maintaining equipment, and managing logistics.
9. Relationship Management : Build and maintain positive relationships with internal teams, external partners, clients, and other stakeholders.
10. Confidentiality : Handle sensitive information with discretion and maintain confidentiality at all times.
11. Team Support : Assist with other duties as required.
Skills & Experience
- Proven experience as an executive assistant or similar role, supporting senior management
- Minimum 3 years' experience in project management
- Proficiency with Microsoft products, specifically Outlook, Excel, and PowerPoint
- Excellent written and oral communication and presentation skills
- Ability to work in a fast-paced environment, operate with a strong sense of urgency, and turn in quality work quickly, under strict time constraints
- Ability to work collaboratively
- Self-starter with superior analytical skills; a problem solver with an astute attention to detail
- Possesses good judgment, honesty, and utmost integrity.

Actual compensation offered will be finalized at offer and may be above the posted range due to skill level, experience, industry specific knowledge, education / certifications, or geographic location.

Physical Requirements
The work for this position will be conducted in an office environment. The role may require maintaining a stationary position for extended periods of time, operating a computer and other office productivity machinery, attending to tasks for extended periods of time, and communicating accurate information effectively and efficiently.
