Summary :
Under the authority of the Procurement Manager, the SeniorBuyer provides support throughout the various ministries to assistAssociates with supply and equipment orders needed to maintainpatient care, facility maintenance, and administrative duties.
TheSenior Buyer actively researches and resolves problematic purchaseorders, obtaining substitute product details when applicable.
TheSenior Buyer will maintain daily reports, as well as activelyparticipate in process improvement opportunities.
Responsibilities :
- Meets expectations of the applicableOneCHRISTUS Competencies : Leader of Self, Leader of Others, orLeader of Leaders.
- Responsible for thecreation and communication of end of day productivity reporting toManagers.
- Responsible for the processing ofpurchase requests for assigned region. Ensures requests areprocessed timely and all problematic lines are researched, datacorrected, orders confirmed by vendor.
Utilize unreleased report asa resource to ensure orders from previous day are processed and inreleased status.
- Process special type POsaccording to CHRISTUS policies and standardizationprocesses.
- Takes corrective steps whererequisitions are created improperly, or order failed to transmit tovendor as expected.
- Management of STAT relatedrequests, manually processing to ensure delivered overnight asrequested, follow-up on STAT orders to obtain tracking informationand communicate any delays to facility / requester prior to expecteddelivery.
- Manage extended delivery delays bysecond sourcing, engage with vendor representative for substitute,obtain facility approval before processing substitute.
Escalateunresolved issues to Clinical if subs or second sourcing optionsare unavailable or unacceptable. Utilization of HealthTrust as aresource to ensure substitute options are undercontract.
Prevent aging unconfirmed orders;follow-up on orders with no reference number noted within purchaseorder; work strategically between emailed confirmations and GHX toensure orders are processed and confirmed.
Contact vendors directto confirm non-EDI orders were received within 48 hours. Escalateunresponsive vendors to Specialist / Manager / System Director mustutilize email / phone / rep contacts effectively.
Monitoring of regional email boxes,responding / resolving requests from vendors / facilities, respondingin a timely manner;
ensuring SLAs are met.
- Manages the return on of products, mitigating freight cost andexpense.
- Timely management of sub relatedemails / actions, preventing receiving / invoice discrepancies;documenting all actions as a line comment to include propernotations for MM for subbed items.
- Responsiblefor the daily review and resolution of GHX exceptions, , to includeunit of measure, part number, and rejections, timely modificationof PO to ensure accurate receiving and invoicematching
- Utilize Master Data Management (MDM)ticket process to communicate data integrity updates to avoidrecurring order / item rejections which delay delivery or interruptinvoice matching.
- Product research fordiscontinued items utilizing the tools and systems in place per thedepartment guideline.
- Assist in the review andresolution of Weekly Expedite report relatedissues.
- Manage / respond to vendor reports tofacilitate closure of purchase lines ascommunicated.
- Assists in Annual Human TissueCertification Process, ensuring documents are on file in accordancewith Joint Commission requirements
- Assists intraining of new Associates following Training Tracker, ensuring newAssociates have the tools needed to besuccessful.
- Assists in process improvementactivities, participating in all team calls, bringing upsuggestions to assist in resolution of Procurement relatedopportunities.
Requirements :
- High School diploma or equivalentpreferred
- 4 years of experience in relatedfield required
- Minimum 1 2 years ofpurchasing experience preferred
- Goodorganizational skills and experience in collaborating with teamstoward measured outcomes.
