Purpose
Plan, manage, and execute signature events, boards and councils on behalf of the McCombs School to further the Development and External Relations team’s mission and activity.
Develop relationships with outside event-related vendors. Manage high-impact, leadership-level events and budget and operate within the procurement rules associated with the University of Texas at Austin.
Serve as the lead liaison to boards, councils, and alumni volunteers.
Responsibilities
EVENT MANAGEMENT :
Serve as the primary point of contact for all high-impact, school leadership-level special events for the McCombs School of Business.
Represent the McCombs School at special events. Direct all aspects of (visioning and execution below), and attend, special events to ensure smooth implementation of event logistics and resolution of any issues that arise.
Lead the vision, planning, preparation, and execution of a variety of donor events including, but not limited to :
- Small / regional receptions with alumni and McCombs School leaders, on-campus events such as hard-hat tours, conferences, lectures, student organization events, and key donor meetings.
- Manage existing events such as scholarship appreciation event, McCombs Hall of Fame, naming ceremonies, Dean’s Advisory Council, etc.
Execute and manage event lifecycle including :
such as facility identification and reservation, menu selection and catering coordination, guest list development participation, invitation project management, coordination and delivery, audio / visual and performance needs, thoughtful management of VIP relationships, and appropriate post-event follow up
Monitor special events budget and ensure expenses are made within the limits of allocated funding. Ensure purchases and contracts are managed in accordance with University policy and law.
Track and maintain event expenses and budgets. Develop metrics to measure event success and provide recommendations for improving future events.
Maintain detailed event recaps and supportdocuments.
: Research and identify appropriate vendors. Serve as point of contact for vendors and maintain positive vendor relationships.
Coordinate with internal business processors on vendor contracts and execution of payment to vendors.
Ensure events are staffed, as needed. Determine on-site staffing needs and communicate schedules / responsibilities for events and ensure content / messaging and technical or other services are in place for execution.
UNIVERSITY COORDINATION :
Work effectively with representatives from the Office of the President, University Development Office, McCombs School, and other organizations across and outside of UT to coordinate events and link the campaign with broader UT strategic fundraising goals.
Create event production timelines and collaborate with appropriate partners to ensure that timelines and priorities are met.
TEAM MANAGEMENT :
Supervise an efficient team to manage high-level boards and councils and key city / metropolitan statistical area (MSA) affiliate groups and related events and communications.
Help set vision for these functions. Grow key affiliate groups, boards and councils to increase revenue and penetration in key markets.
Required Qualifications
- Bachelor’s degree and 7+ years of applicable experience.
- Demonstrated ability to manage multiple tasks and deadlines in a fast-paced and dynamic work environment and establish effective work relationships with varied stakeholders.
- Highly organized with strong problem-solving skills; ability to follow through on projects collaboratively and independently.
- Must be composed and professional under stress to effectively represent the McCombs School of Business
- Previous success working independently and in a team-oriented environment to accomplish goals, implement programs and / or events, make decisions and solve problems effectively.
- Excellent written and verbal communication skills.
- Excellent attention to detail.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook; and comfortable learning new technologies.
- Ability to work occasional overtime, with a particular emphasis on supporting after hours events
- Must be able to work with sensitive information with discretion.
Preferred Qualifications
- Bachelor's degree and 10+ years of experience in event administration or coordination.
- Five years of direct experience creating, coordinating and executing events of all sizes and levels of complexity.
- Prior events experience with UT Austin or in a higher education setting.
Salary Range
$90,000 - $100,000 + depending on qualifications
Working Conditions
- Works in standard office conditions, in a shared office environment with repetitive use of a keyboard at a workstation.
- Some evening and weekend hours may be required during peak periods and special events.
- Applicants must be legally authorized to work for any employer in the United States. This position is not eligible for sponsorship of work visas.

Employment Eligibility :

Retirement Plan Eligibility :
The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
This position has the option to elect the Optional Retirement Program (ORP) instead of TRS, subject to the position being 40 hours per week and at least 135 days in length.
