Location : Hybrid (occasional in-person requirements), Bay Area, California

Employment Type : Full-time exempt, 1.0 FTE

Compensation : $67,000 - $75,000 DOE

About Vital Arts

Vital Arts was founded to honor the victims of the Ghost Ship fire by ensuring access to safe, affordable spaces for artists to live, work, and perform in the San Francisco Bay Area.

We act as a catalyst and facilitator for effective advocacy, intervention, and solutions, and operate leanly and nimbly for continuous learning and responsiveness.

Our focus is on projects that address the needs of low to moderate-income artists as well as artists facing displacement or homelessness.

By leveraging networks and partnering with various agencies and individuals, we advocate for more material resources for artists in the Bay Area.

We aim to mobilize artists toward their own advocacy and liberation and are moving into artistic presentation, data gathering, and coalition building as a means of empowering and organizing artists.

We envision a world in which arts and culture are systemically supported and recognized as essential to a vital and healthy society, ultimately cultivating a creative community where artists can thrive.

The Position

Vital Arts is currently seeking a highly qualified Program and Operations Coordinator to join our team. We are seeking an individual who is quick to learn, possesses exceptional organizational and communication skills, and can multitask effectively.

The ideal candidate will have a strategic mindset and a strong interest in project management, arts administration, community engagement, and operational excellence.

We seek someone dedicated to advancing arts and affordable housing advocacy efforts with a firm commitment to social justice, joy, and creativity.

This candidate will grow with the organization and become instrumental in our ongoing success, as we are currently in a significant growth phase.

A self-motivated, adaptable individual enthusiastic about our mission will excel in this role.

The Program and Operations Coordinator will hold a range of responsibilities. They will be expected to handle ongoing administrative tasks, manage the Vital Arts programs and website, address community requests for assistance, and facilitate effective advocacy and partnerships.

This is an excellent opportunity for someone seeking to gain a broader range of experience in nonprofit arts administration and contribute to advocacy for artists.

While we mainly work remotely and do not have a physical office at this time, this position will involve a mix of remote and in-person work - as COVID safety permits - for meetings, events, advocacy efforts, and site visits in the Bay Area.

JOB RESPONSIBILITIES

Project Management :

  • Support projects to completion on time and within budget
  • Develop operational objectives for systems improvement
  • Purchase materials and plan inventory in a cost-effective manner
  • Maintain an operations manual for organizational processes
  • Support the Executive Director in building and executing programs
  • Manage, distribute, and delegate tasks
  • Assist in program development for various projects, including :
  • The Artist Displacement Prevention Grant
  • The Bay Area Artist Census
  • Artist Space Trust
  • Community engagement events
  • Other Artistic Programming

Administrative Excellence :

  • Manage filing systems
  • Efficiently respond to email inquiries for meetings and information
  • Manage phone and all other office systems
  • Data entry and filing, including accounts payables and receivables
  • Regular website maintenance
  • Support the Executive Director in hiring, training, and onboarding new staff
  • Maintain precise donor records, process gift entries and renewals, and manage acknowledgment letters.

Community Engagement :

  • Address artist support inquiries, including providing housing navigation resources
  • Assemble presentations for public offerings, workshops, and events
  • Oversee volunteer and intern management
  • Represent Vital Arts in community settings, cultivating alliances with partners aligned with our mission.
  • Manage updates to the Vital Arts website and resource area
  • Support fundraising events, volunteer management, and in-kind donor solicitation

Research and Advocacy :

  • Conduct research to support Vital Arts' advocacy and education efforts.
  • Identify needs and opportunities for action and engagement
  • Support the Executive Director in advocacy efforts, including attending community and civic advocacy meetings, conferences, and events.
  • Organize and facilitate site visits to artist spaces for the Vital Arts team.
  • Provide support for activities related to the Artist Space Trust.

QUALIFICATIONS

Bachelor’s Degree or equivalent

Experience in administrative support or program development

Familiarity with the Bay Area arts community

Experience in social justice or advocacy efforts

SKILLS

Understanding of non-profit operations

Proficiency in Excel and Google Sheets with data entry and analysis skills.

Background in project management

Experience with task management software such as Asana, Airtable, or Notion

Excellent written and verbal communication skills

Strong critical thinking and multitasking capabilities.

Self-directed fast-learner

Experience in events management

HTML or CSS knowledge is a plus.
