They currently have a career opportunity for an Executive Assistant in their Peninsula office.
The role has a 3 in office and 2 remote hybrid schedule with a salary up to 140K depending on experience.
Summary :
The Executive Assistant provides proactive administrative support to partners, playing a key role in their success by handling business development, client relationships, and contact management.
By managing and reducing administrative duties, the EA allows partners more time for attorney-specific tasks and oversees their daily schedule and operations.
Responsibilities :
- Manage and prioritize an active calendar, coordinating various commitments such as meetings, events, and speaking engagements.
- Ensure the partner is well-prepared for meetings and business travel, providing proactive support and solutions to arising conflicts.
- Screen calls and requests, serving as a gatekeeper to optimize the partner’s schedule for efficiency and productivity.
- Handle confidential correspondence and document management with keen attention to detail, and discretion.
- Provide back-up support to other partners, apply innovative work methods, and perform specialized administrative tasks with independent judgment.
- Use litigation knowledge to assist with preparing legal documents and e-filing.
- Review and finalize monthly bills, ensuring accuracy and consistency with special engagement terms; assist with client requests for month-end estimates and monitor A / R and collections.
- Work with billing for accurate billing and collection, handle deal wire payments, and occasionally manage client investment checks.
- Assist with business development by organizing contacts, coordinate pitch preparations, and updating the CRM database.
- Assist with onboarding new clients, and managing social media.
- Maintain bios, organize and coordinate events.
- Manage reports, budgets, and key practice administration projects, including preparing agendas and materials for meetings and initiatives.
- Create and update PowerPoint presentations.
Qualifications :
- Bachelor degree is preferred.
- 5+ years of litigation experience and supporting Partners or C-Level Executive.
- Demonstrate high anticipatory skills, excellent judgment, critical thinking, and proactive problem-solving.
- Adapt flexibly to changing needs, with a strong understanding of financial transactions and ethical practices.
- Communicate effectively at all levels with superior verbal and writing skills.
- Proficiency in Microsoft Office, Adobe Acrobat, and social media platforms; knowledge of Salesforce preferred.
