Senior Program Operations Manager

About the Opportunity

The Senior Program Operations Manager will provide administrative and financial oversight and support for professional graduate programs in the College of Science.

Working under the Associate Director of Graduate Operations, the Sr. Program Operations Manager will support the operational needs of a pool of leading graduate programs.

Specifically, the Sr. Program Operations Manager will manage and oversee budgets for the professional graduate programs, initiate a broad range of human resource and faculty personnel actions on behalf of the programs, arrange for purchases, funding transfers, and other fiscal operations for the programs, oversee academic course scheduling for the programs, and provide other general administrative support as required.

The Sr. Program Operations Manager will also act as a subject matter expert on administration and operations at Northeastern, acting as a resource for faculty and students involved in the programs at the main Boston campus as well as Northeastern's regional and satellite locations.

The Sr. Program Operations Manager will also have responsibility for monitoring and reconciling program budgets, adhering to University and College policies and guidelines, and for providing data and reporting to College leadership related to program operations.

Qualifications

  • Bachelor's degree required; Master's degree preferred.
  • A minimum of three years' experience in a professional office environment required, preference given to experience in an administrative setting and / or nonprofit or higher education environment.
  • The successful candidate will be able to prioritize and handle multiple competing tasks and deadlines independently, have strong attention to detail, excellent interpersonal skills, and strong data analysis skills with Microsoft Excel.
  • Experience using Cognos, Argos, Banner, and Salesforce desired but not required.
  • Strong interpersonal and communication skills.

Key Responsibilities & Accountabilities

Academic Administration

Work with relevant Program Directors to help ensure all program classes are scheduled, assigned and staffed by appropriate faculty, teaching assistants (TAs), or other appropriate individuals.

Work with COS-HR to ensure all provisions within the part-time faculty Collective Bargaining Agreement (CBA) or other applicable employment regulations are enforced.

  • Act as primary point of contact for program faculty on administrative matters. Communicate important updates to faculty, maintain Good Faith Consideration tracking for part-time faculty.
  • As part of class scheduling, maintain a clear scheduling system for key department resources, including teaching labs, to effectively and safely use space.

Work to address scheduling issues, room change requests, and other logistical issues which would hinder the successful delivery of a course.

Work with Program Directors, Associate Dean, Assistant Dean to support all other aspects of academic administration at the program level, and coordinate with student services group for any issues that pertain to individual students.

This may include issues related to commencement, transfer course considerations, academic integrity / conduct, academic progress, visa issues, late arrivals, OPT paperwork, referrals to WECare, etc.

Support and advise Program Directors through managing academic probation cases, dismissals, incomplete grades, and withdrawals.

Report status and ensure students are informed with Graduate Student Services. Clear students for commencement and check degree audits for each graduation (December, May, August).

Business Operations

  • Support program hiring - primarily part-time faculty for programs but also support other hires as required for the program for all locations.
  • Initiate any human resources or faculty affairs transaction necessary for the program, follow up with COS HR as needed to complete the request.
  • Make purchases and other financial transactions as required to support program operations.
  • Track program budgets, reconcile expenses, and meet regularly with COS Finance team to discuss planned spending.

Support Operational Program Growth

  • Flex to provide academic administration support and business operations support across a portfolio of programs, as directed by the Assistant Dean that meets the demands / requirements of all regional / satellite campuses.
  • Extend administrative and operational support as directed and required to programs at network campuses. This support may be ad hoc during program start-up periods and will be defined by the Associate and Assistant Deans for Professional Programs.
  • Coordinate needs such as simulcasting, course scheduling, hiring faculty, student program plans, and providing program consultation to network campus staff.
  • Provide data, analysis, forecasting and other support as needed to College leadership to facilitate the start up of new programs or the expansion of existing programs to new network locations.

Event and Communication Support

Work with and provide support to program leadership as they plan program functions including recruitment events, information sessions, new student welcomes, graduation celebrations, etc.

  • Maintain program handbooks and program intranet sites.
  • Develop and lead orientation for students and faculty.
  • Maintain external relationships with Industrial Advisory Boards (IAB), coordinate annual meetings and presentations.
  • Work with COS Marketing and Communications and academic home departments to ensure that the program web presences (websites, social media, ads) and other collateral (flyers, mailings, etc.

are correct and up to date.

Data, Analysis and Other Duties

  • Collect, track, and compile key metrics on programs as directed by Program Directors or other College leadership.
  • Track and maintain admissions numbers, sending out weekly enrollment summary to key stakeholders.
  • Oversee and ensure integrity of student / alumni database. Track course offerings, teaching assignments, plagiarism incidents, student hires (i.

e. teaching assistants, lab assistants, technical proctors, office assistants).

Other duties as assigned.
