Description

The Accountant is responsible for general accounts receivable, accounts payable, payroll, reconciliations, and daily

reporting as core duties, working with the Controller to ensure all activity is recorded and reported accurately and

timely. This position interfaces with all work groups within the company as well as other sister companies.

Job Responsibilities

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and

responsibilities as management may deem necessary from time to time.

1. Accounts receivables

  • Monitor aging and conduct collection activities when appropriate
  • Post customer payments by check, ACH, and credit card and prepare bank deposits
  • Notify customer service / inside sales when checks are short paid with information so that customer service can resolve issues

2. Accounts payable

  • Review all freight bills to monitor full freight recovery and margin enhancement
  • Review all vendor invoices for billing errors
  • Obtain approval and input AP invoices
  • Issue payments to vendors and others by check and electronically on a weekly basis

3. Sales Tax accounting

  • Assist sales team in determining sales taxability on any given sale or project
  • Determine all appropriate taxes to be collected based on delivery locations and ensure they are set
  • up in accounting system
  • Liaison with external vendor that remits taxes to various state departments of revenue

4. Payroll

  • Ensure accurate timekeeping information is transmitted to the payroll service on a timely basis
  • Book journal entry to record the payroll in the accounting system and ensure proper funding
  • Make payments for payroll liabilities not done by payroll service

5. Job Costing

  • Maintain job cost tracking with revenue and expense compared to cost estimate and billings by job
  • Adjust for percentage of completion and produce a monthly job cost accrual amount
  • Collaborate with GM and other staff to ensure completeness and accuracy

6. Monthly Reporting

  • Own monthly close by ensuring timely completion of daily tasks and month-end processes
  • Prepare and book accruals and adjustments required for accurate cutoff
  • Make monthly entries after reviewing fixed assets, prepaids, etc.
  • Complete bank reconciliations
  • Generate financial statements and related schedules for distribution

7. Cash Management

  • Forecast activity and make transfers to maintain appropriate balances
  • Report daily cash activity

8. Daily Dashboard

Monitor order intake and invoicing to generate daily sales reporting

9. External Audit

Assist Controller by retrieving, packaging and submitting responses to inquiries by external audit firm

10. Other accounting or clerical duties as assigned by the Controller, General Manager, or CFO

Requirements

  • Undergraduate degree in Accounting
  • 3-5 years proven accounting experience, or 10-15 years full charge bookkeeping experience
  • Excellent knowledge of MS Office products, particularly Excel
  • Experience with Quickbooks is an advantage
  • Experience in a contracting or construction environment is also a plus
  • The ability to learn and adapt in a growing business
  • Attention to detail, accuracy, and process improvement mindset
  • Ability to cooperate with all levels of employees and management
  • Strong mathematical and analytical skills
  • Self motivated and willingness to work in fast paced environment
  • Comfortable with some uncertainty and able to remain productive
  • Cultural alignment with the team in place
  • Ability to submit to background / drug screen

up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision,

peripheral vision, depth perception, and ability to adjust focus.
