Position Overview : The Office Manager will play a key role in overseeing the day-to-day operations of our firm. The ideal candidate is detail-oriented, highly organized, and able to juggle multiple priorities in a fast-paced environment.

You will be responsible for ensuring the office runs seamlessly while providing support to our CPA team and offering exceptional service to our high-profile clientele.

Key Responsibilities :

  • Oversee general office operations, including managing administrative staff, coordinating schedules, and maintaining a productive office environment.
  • Serve as the primary point of contact for clients, ensuring a professional and welcoming experience.
  • Manage office supplies, technology, and facility needs.
  • Assist with client onboarding and document management, including ensuring compliance with industry regulations.
  • Support the firm’s CPAs with administrative tasks such as scheduling, travel arrangements, and preparation of financial documents.
  • Coordinate meetings, events, and conferences for both internal and client-related activities.
  • Assist in managing firm finances, including vendor payments, expense reports, and budgeting.
  • Implement and optimize office policies and procedures to improve efficiency.
  • Maintain confidentiality of all client and firm information in accordance with professional standards.

Qualifications :

  • Proven experience as an Office Manager or similar administrative role, ideally within a professional services firm (CPA firm experience preferred).
  • Strong organizational and multitasking abilities.
  • Excellent interpersonal and communication skills, with the ability to build rapport with high net worth clients and business owners.
  • Proficiency in office software, including MS Office Suite (Excel, Word, Outlook).
  • Familiarity with accounting software and CRM systems is a plus.
  • High level of discretion and professionalism in handling sensitive information.
  • Ability to work independently and solve problems efficiently.
