Responsibilities
The Financial Analystperforms administrative and analytical functions in support of the management activities of the Department of Medicine.
This position plays a central role in ensuring the financial integrity of the Department through monitoring, analyzing and reporting financial and compensation data
- Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson
- Assist faculty with HR functions (Position Control) for recruiting / hiring / onboarding of staff, including volunteers and students
- Assist Assoc Admin in preparing budgets pertaining to research and related administrative activities in accordance with University guidelines.
Prepare supporting budget schedules and perform budget reconciliation and analysis. Prepare financial forecasts and explain budget variances on an ongoing basis, and as needed by the Department and University
Oversee pre-award and post-award administration of all federal and nonfederal grant accounts. Prepare budgets for all new and continuation grant applications.
Ensure timely preparation of OSDs + PC changes as required by grant budgets
Monitor the activity of the Center’s College, Research, Trust, Gift and Special Purpose accounts. Review and perform monthly reconciliation of all financial statements.
Analyze variance reports to prior year and budget, as applicable. Provide summary data to Assoc Admin, Division Director and Department and University.
- Prepare divisional financial / statistical reports and analysis as requested by the Division Director and Department
- Review and approve divisional financial transactions including requests to purchase, requests for payments, IDTs, cost transfers, petty cash, etc.
Identify and assign correct charge codes for all expenditures. Ensure transactions do not exceed budgeted funds or University guidelines for approved expenditures.
- Admin functions including daily office operations, maintaining Director’s calendar; scheduling meetings / seminars and seminar speakers;
- timekeeping; ordering and maintaining office supplies; Concur reimbursements; oversees mail processing and distribution, including FedEx and OptiFreight;
processes request for payments, credit card purchases, etc.; ordering through ASCENT; attend divisional meetings; processing of visa applications and maintains the Center’s website
Qualifications
Bachelor’s Degree in Accounting and / or Finance preferred
1-3 Years of financial experience a plus
