Executive Assistant - Gaming Commission
Under the direction of the Chief Gaming Regulator (CGR) of the San Manuel Tribal Gaming Commission (SMTGC), the Executive Assistant - Gaming Commission performs a variety of complex administrative duties involving sensitivity and discretion to support and amplify the impact of the CGR by managing dynamic situations with discretion and strategic foresight. This role involves independent planning, organizing, and executing confidential and time-sensitive administrative tasks that contribute to the overall effectiveness and efficiency of regulatory operations.
Essential Duties And Responsibilities
- Collects and summarizes information from internal and external sources and directs the flow of information through the Office of the Gaming Commission; exercises independent judgment to follow up with appropriate management on pending requests and communications. Safeguards sensitive information by consistently maintaining confidentiality and ensuring timely, accurate distribution aligned with enterprise priorities.
- Leads administrative projects with autonomy, making informed decisions to coordinate staff and allocate resources effectively. Implements project plans with precision, continuously monitoring progress and measuring outcomes to ensure timely and successful completion. Develops and maintains an approval process using digital platforms for document control, review, and approval for the Office of the Chief Gaming Regulator.
- Drafts and refines regulatory correspondence ensuring clarity and compliance across matters involving gaming licenses, SMTGC rulings, and Tribal Court. Develops impactful presentations and business reports, incorporating all necessary supporting materials, charts, spreadsheets, and documentation, as directed, with a focus on quality and strategic communication.
- Orchestrates the CGR's Outlook calendar by intuitively planning, scheduling, and organizing daily business activities; proactively manages scheduling conflicts and ensures the CGR is well-informed of upcoming commitments and responsibilities. Coordinates complex travel arrangements, including detailed daily itineraries, and serves as the primary liaison for all visitors to the Office of the Gaming Commission, ensuring a seamless and professional experience.
- Supports key operational functions by assisting with contract requests, tracking financial expenditures, and reconciling credit card transactions. Facilitates seamless onboarding and offboarding of SMTGC team members and manages leave of absence communications with accuracy and discretion, ensuring continuity and compliance across administrative processes.
- Performs other duties as assigned to support the efficient operation of the department.
Education, Experience And Qualifications
High School Diploma or GED required.Bachelor's degree in preferred.Minimum five (5) years related administrative experience, preferably in an executive office having supported a Director-level or C-Suite Executive, required.Knowledge, Skills And Abilities (Ksa)
Experience working within a Tribal Government or Regulatory Agency is preferred.Proficiency in Microsoft Office suite of products required : Word, Outlook, PowerPoint, Excel, and Teams.Must possess strong analytical skills with high attention to detail and accuracy.Capacity to assess situations, anticipate needs, and resolve issues proactively.Ability to manage complex schedules with foresight and adaptability.Skilled in prioritizing and coordinating multiple commitments seamlessly.Must demonstrate excellent people skills, including the ability to establish rapport quickly and communicate well.Ability to thrive in a dynamic environment and adjust to shifting priorities.Licenses, Certifications And Registrations
At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.Authorized Driver : Role requires operation or driving of Tribe-owned vehicles or driving patron vehicles. A valid driver's license with an acceptable driving record as determined by the insurance carrier is required.Physical Requirements / Working Conditions Environment
Primary work environment is in a climate-controlled office setting.Work requires travel to attend meetings, trade shows, and conferences.Incumbents may be required to work evening, weekend and holiday shifts.Must be able to work in a fast-paced, high-demand environment.Strength sufficient to exert up to 10 pounds of force occasionally and / or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and / or move up to 40 pounds occasionally.Sedentary work : involves sitting most of the time.
