We are in the market for an Administrative Assistant to contribute to our operations in the Construction / Contractor industry.

Based in NORTON, Ohio, this role offers a contract to hire employment opportunity. The Administrative Assistant will be primarily responsible for providing clerical support, maintaining records, and interacting with customers.

Responsibilities :

  • Serve as a support to the managerial team, assisting in daily office needs and managing our company’s general administrative activities.
  • Maintain and update customer sites, ensuring all relevant information is accurate and up to date.
  • Handle extensive use of Microsoft Excel for data compilation and analysis.
  • Support the billing associates and receptionist as needed, providing backup support during breaks and call overflow.
  • Manage and maintain contract warranty sites, ensuring they are up to date and accurate.
  • Conduct regular communication with customers, providing them with necessary information such as Certificate of Insurance renewals.
  • Schedule appointments and manage inbound and outbound calls effectively.
  • Generate weekly and monthly reports, contributing to the overall efficiency and effectiveness of operations.
  • Perform data entry tasks and email correspondence as necessary.
  • Carry out additional tasks related to the role of Administrative Assistant as required.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook
  • Experience with data entry and maintaining accurate records
  • Ability to handle inbound and outbound calls professionally
  • Strong customer service skills and ability to interact with diverse groups of people
  • Experience in managing email correspondence professionally and efficiently
  • Ability to schedule appointments and manage calendars effectively
  • Experience in performing receptionist duties, such as greeting visitors and handling incoming calls
  • Knowledge of construction or contractor industry is a plus
  • Strong organizational skills and attention to detail
  • Ability to work independently and as part of a team
  • Excellent written and verbal communication skills
  • High school diploma or equivalent required. Higher education or certifications in relevant fields are a plus.
