Responsibilities
- Organizing and managing the CEO's schedule, including scheduling meetings, appointments, and travel arrangements.
- Serving as a primary point of contact between the CEO and internal and external stakeholders, including screening and managing emails, phone calls, and other correspondence.
- Assisting in preparing agendas, materials, and presentations for meetings attended by the CEO, as well as taking minutes and following up on action items as needed.
- Handling confidential information with discretion and maintaining organized files, documents, and records.
- Assisting in the planning, coordination, and execution of special projects or initiatives, which may involve collaborating with other members of the executive team or cross-functional teams.
- Arranging travel itineraries, accommodations, and transportation for the CEO, as well as preparing necessary documents and expense reports.
- Conducting research and compiling reports on various topics as requested by the CEO, to support decision-making and strategic planning.
- Helping the CEO prioritize tasks and manage their time effectively, ensuring that important deadlines and commitments are met.
- Acting as a liaison between the CEO and other departments or teams within the organization, facilitating communication and coordination as needed.
- Handling administrative and logistical challenges that may arise, troubleshooting issues, and finding solutions to ensure smooth operations.
- Representing the CEO and the organization professionally in interactions with clients, partners, and other stakeholders.
- Providing general administrative support to the CEO as needed, which may include personal errands or other tasks outside of typical office duties.
Qualifications
- Bachelor's degree or equivalent experience
- Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Previous experience in an executive support role, preferably supporting C-suite executives or senior leadership within a similar industry or organization.
- Strong organizational abilities, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to effectively interact with individuals at all levels, both internally and externally.
