Community Services for Families (CSF) Program

Position Summary

Under the supervision of the Communities Services for Families Program Manager, responsible for performing a variety of general clerical task to ensure day-to-day operations.

Provide administrative support and program support as needed. Responsible for filing various documents, assist in maintaining information stored in electronic databases, and assembly of documentation packets.

The Administrative Specialist must be able to handle multiple tasks at a given time with still reaching deadlines and take initiative on tasks that need to be completed assigned by the CSF Program Manager and program Administrative Coordinator.

Responsible for assisting with projects and task as needed. Candidate must possess distinct skills in communication, organization and problem solving.

Specific Activities

  • Responsible for administrative support for CSF contract components in North Region (Inland & Coastal) :
  • Family Support Partner (FSP)
  • Parent Partner (FSP)
  • Parenting Education (GBP)
  • Family Support Clinician (FSP)
  • Maintain office organization and ordering of supplies.
  • Replenish documents when copies are low
  • Remain culturally sensitive and respectful in all client and staff interactions.
  • Responsible for timely and accurate data entry and filing of case files.
  • Organize and maintain SafeCare Supplies and copies.
  • Submit Print Order request for SafeCare curriculum.
  • Pick up supplies from different Lifeline locations.
  • Assist in creating forms, flyers, brochures, or other graphics as needed by program.
  • Assist with onboarding new staff, which includes : preparing on-site work station with office supplies and welcome bag;

tour of main work site; review welcome packet, county badge procedure and resource binder.

  • Assist CSF Group Based Parent Educator with archiving files and mailing Certificates of Completion.
  • Operate office machines (copy, fax, etc.) and order and maintain office supplies.
  • Maintain effective communication with staff.
  • Maintain up-to-date resource bank.
  • Other duties as assigned.

Minimum Qualifications / Requirements

Must provide services compatible with the agency purpose to enhance the positive quality of life for individuals, families, and the community in a manner that is culturally sensitive to the population being served.

Must exercise independent judgment and good decision-making skills. Be able to communicate with senior level CWS staff pertaining to Lifeline and CSF specific policy and workflow.

Must possess excellent customer service skills, be highly organized, demonstrate ability to handle multiple tasks and possess effective communication skills.

BA or equivalent experience in social services or related field. Minimum of two years social service required. Bilingual English / Spanish.

Reliable transportation.

Compensation and Benefits

Fulltime- non-exempt, $20.00 - $22.00 (DOE) plus bilingual compensation. Eligible for employer benefits including medical, dental, vision, and life insurance.

The employee may be exposed in an extremely stressful environment where there are considerable mental and emotional demands.

Travel is required to client homes and community. While performing the duties of this job, the employee may be exposed to weather conditions prevalent at that time.

The employee must regularly deal with clients who are experiencing serious problems and that can be very difficult and dangerous.

The employee may be required to operate office equipment requiring repetitive hand movement and fine coordination including use of computer.

Work Schedule

Monday - Friday Times may vary per individual client needs (may include day time and evening hours)
