As a vital team member of the Administrative Research Core, the Grants and Contracts Coordinator is responsible for the financial administration and compliance of the Department’s research portfolio and has oversight of the financial reconciliation of over 140 active sponsored grants and contracts throughout their lifetime for all Ob-Gyn research programs (federal, foundation, industry, and internally-funded).
Through the creation and maintenance of comprehensive forecasting reports, the Grants & Contracts Coordinator analyzes complex issues, provides strategic guidance to Principal Investigators informed by their grant administration expertise, and enacts or delegates actions for resolution.
This position is held accountable for providing high-level customer service to Department research faculty, including providing monthly financial status reports.
Key Responsibilities :
Grants & Contracts Management (65%) :
- Oversee research program management for individual faculty and study teams by building custom financial reports including expected encumbrances and communicating results with PIs on a monthly basis.
- Maintain a database of all current grants and prepare quarterly comprehensive, high-level Departmental reports listing budget and cash balances for all active speedtypes and distribute to ARC Team Leadership, the DFA, and the Research Services Program Manager.
- Provide guidance for Division Administrators regarding salary allocations based on grant budgeting including establishing correct funding and effort of personnel for each sponsored project maintaining salary caps and cost share commitments, making funding changes each month per payroll deadlines, and preparing retroactive payroll expense transfers.
- Understand and apply negotiated budgets and terms, periodically reviewing study progress including patient enrollment information, generating accurate and timely invoices to Sponsors, and performing cost transfers as necessary.
- Anticipate the necessity of no-cost extensions, carryforward, prior approvals, and continuations and facilitate these tasks as necessary.
- Manage financial close-out of sponsored projects as required by sponsoring agencies with UCD Office of Grants and Contracts.
Subcontract Management (25%) :
- Coordinate subcontract proposal along with Pre-Award Coordinator by preparing the Letter of Intent and Subrecipient Commitment Form and communicating directly with the subrecipient contacts.
- Process invoice payments on a regular basis and manage Purchase Orders as necessary working with OGC Post Award Administrator and Grants and Contracts Coordinator.
- Maintain a comprehensive database of subcontract agreements and invoicing status.
Pre-Award (5%) :
Work with PIs and Pre-Award Coordinator to prepare and submit grant applications, ensuring that all sponsor guidelines are met.
Other Duties (5%) :
- Develop original content for Department research edition newsletter, including advising research personnel on changing regulations and policies / procedures.
- Assist the Research Services Manager with developing general research policies and procedures relating to clinical research and be independently responsible for development and maintenance of department SOPs relating to regulatory policies and procedures.
- Other duties as assigned.
Work Location :
Hybrid this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings.
