We are looking for an organized self-starter with a minimum of 3+ years of related administrative experience for the Vision Products Team.

Description

The Administrative Assistant must be able to work independently while providing excellent, comprehensive on-site administrative support. The successful candidate will have a collaborative and friendly work style, be exceptionally well-organized, able to effectively multi-task, and prioritize. This role works closely with cross-functional teams across various regions and geographies, and requires one to be in the office a minimum of 3 days a week, and occasionally up to 5 days a week based on team needs.

Responsibilities

  • Calendar Management : Organize meetings and calls, and manage unexpected challenges with problem-solving skills.
  • Multitasking : Prioritize and manage diverse projects in a fast-paced environment with precision and attention to detail.
  • Event Coordination : Plan and execute internal events such as off-site and team-building activities.
  • Office Management : Oversee office supplies, floor plans, facility requests, and security protocols for our space.
  • Onboarding : Assist in onboarding new hires with equipment, access requests, and desk allocations.
  • Team Support : Assist in team purchases of equipment and consumables, handling credit card transactions and reconciliation, and assist related teams with purchases upon requests.
  • Proficiency with office systems is required. Including : iCal, Keynote, Mail, and other OS X-based office systems.

Minimum Qualifications

  • Experience : Minimum 3+ years of administrative and calendaring experience supporting senior leadership, preferably in a high tech environment.
  • Calendar Management : Prioritize inquiries and requests, resolve conflicts, and offer recommendations for seamless day-to-day operations.
  • Team Collaboration : Work effectively within a team, establishing trust and fostering strong relationships internally and externally.
  • Communication : Strong written and verbal communication skills with a professional demeanor.
  • Flexibility : Willingness to travel on occasion to our Santa Clara and San Francisco offices to support team needs.
  • Applicants must be capable of lifting packages weighing up to 20 lbs and able to push a cart.

  • Judgment and Discretion : Exhibit integrity and discretion, especially in handling sensitive and confidential information.
  • Timeliness and Accuracy : Pay close attention to detail, accuracy, and timely completion of tasks.
  • Attitude and Organization : Possess a positive and proactive attitude, strong organization skills, acute attention to detail, and the ability to stay up to date via frequent contact with teams & peers throughout the day.
  • BS degree preferred, or equivalent experience.

    At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $35.98 and $63.96 / hr, and your base pay will depend on your skills, qualifications, experience, and location.
