The Facilities Project Manager is responsible for managing the maintenance, repair, operations, and various construction projects within the organization's facilities.
They coordinate with internal stakeholders, contractors, and vendors to ensure maintenance, repair and projects are completed on time, within budget, and meet quality standards.
Responsibilities include project planning, budgeting, resource allocation, risk management, and ensuring compliance with building codes and safety regulations.
This position reports to the Facilities and Purchasing Manager and leads the maintenance team.
ESSENTIAL FUNCTIONS
Maintenance :
- Oversees the day-to-day maintenance issues and problems with Bank facilities, including communicating with branch and department management regarding any maintenance issues at their location.
- Prescribes and executes a Preventative Maintenance Program, proactively inspecting all facilities to ensure that all building systems and site premise are maintained in good working order including, but not limited to mechanical systems and equipment, HVAC, plumbing, electrical, roofs, fire protection, fixtures, floor coverings, carpentry, doors and door hardware, windows, parking lots, landscaping and structural components.
Reports findings or issues to the Facility & Purchasing Manager.
- Oversees the completion of maintenance and repairs to systems and equipment by coordinating and managing the work of outside contractors, including ensuring that contractual requirements are being met.
- Contributes to keeping data in a CAFM / CMMS system up to date.
- Coordinates inspections and permitting to ensure compliance with codes and safety regulations.
- Works closely with Facilities & Purchasing Manager to effectively communicate building issues to Property Managers.
- Evaluates water and energy usage to ensure operation within sustainability standards and to manage operational expense to Bank.
- Purchases maintenance parts and materials as needed.
- Serves as liaison to multiple branches and departments providing related support in areas including branch security, ergonomics, ADA and safety, refresh / remodel, projects, and compliance.
- Leads efforts for ensuring a culture of safety at the Bank, including participation in the Bank's Safety Committee and leadership of safety related projects.
- Responds to building emergencies including but not limited to any business continuity concerns relating to power, generators and HVAC or mechanical systems or other facility related impairment to the Bank's ability to remain operating.
- Serves as an after-hours point of contact for emergency facilities issues.
Projects :
- Under Facilities & Purchasing Manager's direction, work with contractors to remodel existing or construct new facilities.
- Manage trade vendor relationships including obtaining bids, making recommendations, arranging contracts / services, and communicating as appropriate.
- Assists and provides input on the capital expenditure annual budgeting process.
- Coordinate personnel relocations with appropriate cross-departmental partners and outside vendors.
- Work on various projects as needed to support organizational initiatives by departments and branches.
- Update, track, and report through project management software to keep partners aware of progress and timeline.
Management :
- Schedule staff and assign work to ensure superior service and work plans are met.
- Recruit, select, train, and provide leadership and performance feedback for direct reports.
- Recommend wage adjustments, staffing and work assignments.
- Conduct regular staff and coaching meetings with direct reports.
- Establish goals and work plans consistent with Bank needs and monitor progress.
- Serves as department manager in the absence of Facilities Manager.
- Approve bank-wide expenditures within authorized limits.
- Recommend methods and procedures to improve department efficiency.
- Attend internal and external management meetings and represent the Bank at external functions and activities.
Non-Essential Functions :
Perform special projects and other duties as assigned.
MINIMUM QUALIFICATIONS
Education
A combination of education and experience equivalent to a bachelor's degree in Business Administration, Construction Management or related field is preferred, however 2-year AA / vocational degree meets minimum requirement for the role.
Experience
Five years of experience in managing facilities projects and / or vendor relationships, including one year of supervisory experience.
Licenses and Certifications
- Valid driver's license required
- Project Management Professional (PMP) preferred
- Facility Management Professional (FMP) preferred
- Forklift operator certification preferred
Knowledge, Skills and Abilities :
- Knowledge of all aspects of building architectural, structural, mechanical, electrical and construction materials and equipment in order to work directly with various contractors.
- Knowledge of inventory management systems, records retention, facilities management, safety, vendor management and supplier contracts.
- Skills in a variety of professional trades (construction, electrical, etc.) in order to work directly with various contractors.
- Skills operating a personal computer including word processing, spreadsheet and project management software.
- Ability to interpret building construction plans, sketches, blueprints, electronic drawings and specifications.
- Ability to inspect facilities for maintenance, repairs, and renovation requirements.
- Ability to solve problems and deal with a variety of options in various situations.
- Ability to respond to unplanned emergencies at night or on weekends.
- Ability to perform basic math calculations.
- Demonstrated skills managing vendors to ensure timely completion on budget
- Able to anticipate customer service opportunities and provide support.
Physical Requirements :
Ability to stand, bend, stoop, sit, walk, twist and turn. Ability to lift up to 50 pounds frequently and 75 pounds occasionally.
Work environment is indoors / outdoor with a majority of time being spent inside. May have occasional exposure to moving mechanical parts.
Warehouse may have occasional exposure to toxic or caustic chemicals.
Compensation : The hiring range for this position is to $71,837 to $107,755 on an annual basis. The compensation offered will fall within this range, commensurate with the candidate's applicable experience, education and skills.
