OVERVIEW :
The Care team is currently looking for a bright, dedicated, energetic and friendly Administrative Assistant to support the team and Executives of one of the most prestigious global companies.
Familiarity with Korean customs and practices. Bilingual Korean / English required.
PRIMARY RESPONSIBILITIES :
Will be responsible for general administrative duties and assist EA team leader. Provide full suite of administrative support for key leadership, and office operations, including, but not limited to :
- Manage an extremely active calendar of appointments; ensure that the executives stay on track during their day; prioritize meeting requests and handle conflicts or scheduling changes proactively.
- Provide administrative support to a Care Team to ensure timely coordination of day-to-day activities.
- Travel arrangements (domestic and international) and process invoices and travel expense.
- Coordinating arranging meeting rooms / Webex meetings, sending out meeting notices, confirming attendance, securing beverage and catering if needed.
- Conference room setup and break down, working with the account and IT teams to ensure appropriate availability of audio / visual.
resources, tidy up during meeting, as appropriate, and light clean-up post meeting.
- Support coordination of practice-wide initiatives including but not limited to : team events, dinners, meetings, restaurant reservations, and catering support (Budgets, contracts, pricing, transportation, accommodations, food and beverage selection and audio / visual requirements).
- Responsible for ordering supplies within budgetary guidelines and other general office management functions.
- Ensure all policies are followed and items are processed within provided guidelines and Effectively handle related activities and communications with a high degree of professionalism, accuracy and confidentiality.
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare invoices, reports, memos, letters, financial statements, and other documents.
- File and retrieve corporate documents, records, and reports.
- Open, sort and distribute incoming correspondence, including faxes and emails.
- Prepare responses to correspondence containing routing inquiries.
POSITION REQUIREMENTS :

- High school diploma or GED required. Associates Degree preferred.
- 2+ years of administrative or EA experience.
- Microsoft Office Outlook, Word, PowerPoint, Excel.
- Bilingual Korean / English required.
- Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
- Ability to work independently and manage ones time.
- Ability to keep information organized and confidential.
- Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
