Executive Assistant - Legal & Compliance - Leading Investment Advisory Firm
Our client, a leading Investment Advisory Firm, is seeking a new Full-Time / Permanent Executive Assistant to support its Legal & Compliance Team.
Candidates must have a minimum of 4-5+ years of applicable experience, ideally supporting a team within financial services (however, they are also open to industry and backgrounds!), and a Bachelor’s degree is required.
Ideal candidates should be exceedingly organized, great at multi-tasking, polished and professional, possess excellent interpersonal and communication skills (both verbal and written), strong decision-making abilities, attention to detail, and be a team player who can also work independently with little or no supervision.
The ability to interact with colleagues at all levels in a fast-paced environment, often under pressure, while remaining flexible, proactive, resourceful and efficient, with high level of professionalism and confidentiality is crucial to succeeding in this role.

Salary depends on experience (80-90k base), plus Built In paid overtime and discretionary bonus eligibility.
Responsibilities :
- Provide high-level executive administrative support to the Legal & Compliance Team
- Schedule and organize extensive internal and external meetings, conference / video calls, and appointments across various time zones;
manage and maintain busy and ever-changing calendars
- Coordinate complex domestic and international travel arrangements and detailed itineraries
- Prepare, process, and submit expense reports using Concur
- Maintain and update various spreadsheets for the department
- Work closely with the other EAs throughout the different offices
- Interact with clients, vendors and service providers
- Assist with other projects and responsibilities at the team’s discretion
- Screen and answer a high volume of incoming calls
- Set up and breakdown conference rooms and arrange meals and refreshments
Required Qualifications :
- Minimum 5+ years in a similar role, financial company experience preferred
- College degree required, Bachelor’s degree (B.A. or B.S.)
- Extremely organized and detail oriented
- Excellent interpersonal and communication skills (both verbal and written)
- Proactive and great at multi-tasking
- Strong decision-making ability
- Team player who can also work independently with little or no supervision
- Ability to interact with colleagues at all levels in a fast-pac3ed environment, often under pressure
- Flexible, polished, proactive, resourceful, and efficient
- High level of professionalism and confidentiality
