Job Role Summary

This position is responsible for performing clerical and clinic duties as a member of the health care team that provides services to individuals, families and various community agencies throughout Marion County.

This position requires good customer service skills in order to ensure that visitors / clients are treated in a courteous and polite manner.

This position requires the ability to be able to collect fees, document the collection and enter the data into the network database.

Cross training for other assignments may occur as job related activities dictate. There may be some traveling to other sites such as schools, homes or other MCPHD sites in Marion County.

Essential Duties

Responsibility 1 : 30%

  • Computer data entry
  • Learn and update knowledge of the network software and other software necessary for job duties.
  • Process client records at point of service.
  • Responsible for the inactivation of client records / Central Records notification
  • Assists with school data entry as needed.
  • Data entry is up to date and accurate.

Responsibility 2 : 40%

  • Perform Receptionist / Customer Service duties
  • Answer phones and relay messages in a courteous and timely manner
  • Greet and register clients in a courteous and timely manner
  • Distribute interoffice mail in a timely manner
  • Mail reminder cards for client services one week prior to return visit, as required.
  • Monitor office supplies and stock inventory as needed
  • Maintain a professional demeanor when interacting with clients / community contacts / office personnel.

Responsibility 3 : 20%

  • Financial / Fee Collection
  • Accurately complete information / intake on client's insurance, i.e., Medicaid, Medicare, Hoosier Healthwise, etc.
  • Accurately completes the Fee Collection Daily Summary sheets, accounts for monies, and enters the data into computer.
  • Maintain financial records and run daily summary sheet from computer.
  • Following Policies and Procedures is responsible for securely handling the monies and locking in the safe on a daily basis.
  • Balances cash drawer at the end of the day.

Responsibility 4 : 5%

  • Cross Train
  • May be cross- trained to assist with client home visitation for purposes of delivering TB medications.
  • May be cross-trained to help with school screenings - vision and hearing.
  • Responsible for data entry into computer when performing home visits and / or school screening.

Responsibility 5 : 5%

  • Meetings
  • Participate in periodic staff meetings, team meetings, and committee meetings.
  • Attend in-service / seminar to increase job knowledge.
  • Participates in 8 hours of health fairs activities per year.
  • Attend mandatory MCPHD and H & H meetings, i.e., Emergency Preparedness, HIPAA, BBP, etc.

Other Duties and Responsibilities :

  • Other duties as assigned.
  • Employee will protect and maintain confidentiality of each client's and each employee's medical and personal information that may be obtained in the course of job related provision of care or employment.
  • Employee may need to remove confidential information from work place setting to transport to another designated setting or to make a home visit.

If the information is removed, it must be protected and secured.

  • Employee must complete National Incident Management System (NIMS) training 100 and 700.
  • In the event of a public health emergency, employee must be available to work on week-ends or a schedule that would differ from normal assigned workday.

Qualifications

  • High School Diploma or GED
  • 1 to 3 years of previous work experience.
  • Bilingual, Spanish speaking required
  • Computer skills including typing skills of a minimum of 30 words per minute.

  • Must be able to organize work assignments and be self-motivated and function independently.
  • Must be attentive to detail.
  • Must be able to work effectively under pressure.
  • Must be flexible in working with a variety of community partners.
  • Skills in effective interpersonal communication in a multi-cultural setting; may require use of the language line or an interpreter
  • Must be able to exercise good judgment.
  • Requires knowledge of communities and organizations that they may come in contact.
  • Work collaboratively with a broad range of people.
  • Interact tactfully and diplomatically with colleagues, personnel and the public.
  • Maintain confidentiality of information according to HIPAA.

Working Enviornment

  • Requires valid Indiana Driver's license
  • Requires access to own vehicle and current automobile insurance
  • Unconfined sitting, working at a computer, attending meetings; standing and walking; must be able to climb stairs, steady use of hands and fingers - data entry;

limited lifting and carrying

  • May be exposed to substandard and unsanitary living conditions
  • May be exposed to allergens of all types (i.e., pets, dust, smoke, etc.)
  • In adverse weather conditions, may be requested to make home visits for Directly Observed Therapy for TB medications.
  • Required to wear N-95 mask in situations where client is considered infectious.
