Assistant Director, Events And Communications

The Assistant Director, Events And Communications supports the dissemination of the work of the Center for Applied Artificial Intelligence (CAAI) and the Tolan Center for Healthcare through events and communications. At CAAI, the Assistant Director is a core member of the events team, working with the Associate Director of Events and Programming to deliver a robust calendar of programming and liaising with the communications staff to coordinate event-related messaging. At the Tolan Center, the Assistant Director manages both events and communications, serving as the center's primary communications lead while also planning programming. Across both centers, the Assistant Director develops communications plans, manages event promotions and logistics, creates content for newsletters, websites, and emails, and ensures alignment with Booth-wide communications efforts. The role also contributes to strategy development and relationship management.

Responsibilities include :

  • Developing and implementing communications strategies in collaboration with center leadership to increase awareness of research in artificial intelligence and healthcare.
  • Creating and managing communications plans and content calendars for events and programming.
  • Coordinating with communications staff at CAAI and serving as the lead communications contact for HCI.
  • Planning, coordinating, and executing events for internal and external audiences, including students, alumni, faculty, and corporate partners.
  • Managing all financial and logistical aspects of events, including processing reimbursements, purchasing swag and materials, booking rooms and hotels, coordinating travel, and tracking expenses against budgets.
  • Serving as the point person for speaker support, ensuring smooth communication, setup, and on-site assistance.
  • Tracking and reporting event analytics, including attendance, engagement, and participant feedback, to inform future programming.
  • Writing, editing, and publishing content for websites, blogs, newsletters, and email campaigns to promote events and highlight research.
  • Collaborating with Booth departments including Marketing, Media Relations, Admissions, Alumni Relations, and Career Services, to ensure broad distribution of content and alignment with institutional goals.
  • Providing mentorship and feedback to interns or junior staff while maintaining updated databases and contact lists for students, alumni, and external partners.
  • Planning, developing, and disseminating information designed to keep the public informed of the organization's programs, accomplishments, or point of view, with moderate levels of guidance and direction.
  • Accomplishing assigned duties through two or more of the following : written communications; visual / graphic media, which may include website development and maintenance; speeches and personal contact. The incumbent is still acquiring higher-level knowledge and skills.
  • Performing other related work as needed.

Minimum qualifications include a college or university degree in a related field and 2-5 years of work experience in a related job discipline. Preferred qualifications include a bachelor's degree, three years of professional experience in event planning and communications / marketing, and higher education experience. Preferred competencies include outstanding verbal, written, and presentation skills, as well as organizational skills, the ability to work independently with little supervision, strong strategic planning, critical thinking, and analytical skills, the ability to handle multiple tasks / projects simultaneously and meet deadlines with frequent interruptions, and the ability to work effectively and diplomatically with colleagues, students, faculty, and corporate contacts in multiple communication formats.
