What Your Day Will Look Like :

As an administrative assistant, you'll assist with a variety of administrative office tasks and will be responsible for management of the local fleet vehicles and program.

You'll welcome and assist in-person visitors, handle incoming phone calls, manage the office calendar, input data, and set up work stations for new hires.

The administrative assistant reports to the administrative manager.

The scheduled hours for this role will be from Noon to five PM Monday-Friday.

What You'll Do :

Oversee general administrative needs for Portland office including but not limited to file archiving, shipping, office and breakroom supply orders, ordering / canceling office access cards, and keys, office maintenance and / or repairs, and processing mail and shipments.

This includes occasional off site local travel to deliver documents or pick up supplies.

  • Coordinate, reconcile, and code local administrative company credit card purchases.
  • Work with discipline leads and corporate teams to coordinate and set up office events, meetings, happy hours etc.
  • Greet and assist in-person visitors; provide back-up coverage for front reception desk and multi-line phone, as needed.

Friendly, approachable demeanor is imperative.

  • Assist with travel bookings, including airfare, hotel, and ground transportation as needed.
  • Support local fleet programs by driving up to a full size pick-up trucks in the local fleet to car washes, maintenance appointments (.

oil changes, repairs, , coordinating fleet vehicle deliveries, fleet parking needs, scheduling regular and emergency repairs, submitting mileage logs to designated Admin monthly, making pooled vehicle reservations

What You'll Need :

  • High School Diploma or Equivalent
  • Minimum five years of experience of administrative support experience
  • Drivers license with clean driving record and ability to drive a full size pick-up truck
  • Proficiency in MS Office Suite : Word, Excel, PowerPoint, and Outlook software.
  • This office job primarily operates in a professional office environment and routinely requires the use of standard office equipment such as computers, phones, and copy machines.

May occasionally be exposed to noise.

While performing the duties of this job, physical demands of the employee may include constant sitting, talking, hearing, repetitive motions and occasional standing, moving, reaching, handling, grasping, feeling, and coordination.

This job will rarely require lifting, carrying, pushing, or pulling over to 35 lbs.
