Location : Position can be located in any of our locations, frequent travel between offices will be required.
Position Summary : The office manager is responsible for overseeing all front office operations, including patient scheduling, patient registration, and overall customer service. Leads front desk staff, coordinates schedules, and organizes team-building activities to support a positive and efficient work environment. Requires strong leadership, organization, and communication skills.
Essential Duties and Responsibilities :

- Engage in quarterly quality improvement efforts
- Appropriately recognizes and rewards team members
- Manage patient scheduling and registration
- Provide ongoing support and training for all reception staff
- Leading and mentoring front office staff to ensure a high level of professionalism and efficiency; including but not limited to work allocation and scheduling, training and problem resolution; performance evaluation and recommendations for personnel actions; motivate employees to achieve peak productivity and performance
- Managing and optimizing front office workflows, processes, and performance standards.
- Organizing and facilitating team-building activities to promote collaboration, morale, and a positive work culture.
- Monitor timely completions of prior authorizations for services are obtained prior to patient appointments
- Establish procedures to ensure Patient and Registration workqueues are addressed timely
- Identifies, analyzes and addresses challenges and / or breakdowns in registration and scheduling processes
- Evaluate staff competencies on a regular basis and establish performance improvement plans as needed
- Travels regularly to all locations to ensure consistency in front office operations across multiple locations
- Enforces necessary policies and procedures for efficient operations of the department
- Foster ongoing communication with all departments to ensure the patient needs are met in an efficient manner
- Assist with the implementation and sustaining of Patient Centered Medical Home status as needed
- Performs other duties as assigned
Qualifications :
Minimum of Associates Degree or equivalentMinimum of 1-2 years of management experience requiredWorking knowledge of medical billing is preferredExcellent verbal and written communication skillsExcellent interpersonal and customer service skillsExcellent organizational skills and attention to detailStrong supervisory and leadership skillsAbility to prioritize tasks and delegate as appropriateProficient with Microsoft Office SuiteAll employees are required to comply with Infinity Health’s vaccination policy.Supervises : Receptionists
