Job Summary : We are looking for a highly organized, proactive Office Manager to oversee the administrative functions of our outpatient mental health office.
In this key role, you will ensure the office runs smoothly and efficiently by managing day-to-day operations, coordinating administrative staff, and supporting both clinical and billing processes.
You will also serve as a point of contact for clients and staff, ensuring a welcoming and professional environment. Your attention to detail and ability to multitask will be essential in maintaining an organized, compliant, and supportive workplace.
Key Responsibilities :
- Oversee the day-to-day administrative operations of the office, ensuring a smooth and organized workflow.
- Manage office supplies, inventory, and equipment maintenance, ensuring the office is well-stocked and running efficiently.
- Supervise, train, and schedule administrative support staff, ensuring high standards of performance and professionalism, attendance and timesheets.
- Coordinate with clinical staff to ensure smooth scheduling and communication with clients.
- Maintain and oversee client records and ensure HIPAA compliance.
- Manage client intake processes, including handling new client inquiries, appointment scheduling, and managing communication with insurance providers.
- Assist with billing processes updating charts with appropriate insurance forms and verification of coverage.
- Handle facility management tasks, including vendor relations, cleaning schedules, and office space organization.
- Support human resources functions such as recruiting, onboarding, maintaining employee files, and organizing staff meetings or training.
- Ensure compliance with all relevant state and federal regulations, particularly in relation to healthcare operations and audits.
- Serve as the point of contact for all administrative concerns and provide exceptional customer service to clients, staff, and visitors.
Qualifications :
- Proven experience as an Office Manager or similar administrative role, preferably in a healthcare setting.
- Strong organizational and multitasking abilities, with attention to detail.
- Excellent interpersonal and communication skills, both written and verbal.
- Knowledge of office management procedures, systems, and best practices.
- Familiarity with mental health care or healthcare industry practices, including HIPAA regulations, is preferred.
- Experience with recruitment, payroll, HR, and insurance billing processes is a plus.
- Proficiency in office software (MS Office, email, scheduling tools) and familiarity with EHR (Electronic Health Record) systems.
- Ability to work independently and as part of a team, maintaining a positive and professional attitude.
