As we continue to grow, we seek an exceptional Executive Assistant to support our dynamic leadership team.

Position Overview : We are looking for a talented Executive Assistant to work closely with our CEO / Founder and Managing Director.

This role also includes responsibilities for supporting the Head of Strategy with timesheets and expense reports and occasionally covering office manager duties.

You will report to our Chief of Staff and be an integral part of our operations team, striving for operational excellence and ensuring seamless day-to-day operations.

Key Responsibilities :

Executive Assistance :

  • Manage complex calendars for the CEO and Managing Director, prioritizing and troubleshooting to ensure smooth operations.
  • Serve as the main point of contact for internal and external matters related to the CEO and Managing Director.
  • Coordinate travel and accommodation arrangements.
  • Handle sensitive information with utmost confidentiality and discretion.
  • Prepare and manage timesheets and expense reports for the CEO, Managing Director, and Strategy Director.
  • Assist in event planning and execution for company-wide events and meetings.
  • Perform ad-hoc projects and administrative tasks as needed.

Office Management Support :

  • Provide occasional coverage for office manager duties, including managing office supplies, equipment, and ensuring a clean and organized office environment.
  • Act as the primary contact for office management issues and coordinate solutions effectively.

Collaboration :

  • Support other executives as needed and foster positive working relationships across the organization.
  • Assist in maintaining a collaborative and inclusive office culture.

Qualifications :

  • Minimum of 5 years of experience in an administrative or executive assistant role.
  • Exceptional organizational and multitasking skills with a keen eye for detail.
  • Strong communication skills and the ability to influence positively at all levels.
  • Proven ability to manage complex calendars and execute tasks with minimal direction.
  • Comfortable in a fast-paced environment with the ability to adapt and manage multiple priorities.
  • Proficient in Microsoft Office Suite and other relevant software tools.
  • High level of professionalism, integrity, and discretion.
  • Flexible and proactive approach to work, with a positive attitude and a team-oriented mindset.

The compensation package for this position includes an annual base salary range from $90,000 to $105,000 as of the date of this job posting, in accordance with the Pay Transparency Act in New York.
