Position Description :

Under the direct supervision of the Clinic Administrator / Supervisor, the Pediatrics Front Office- Medical Assistant is an important member of our care team, serving as the first point of contact for patients visiting our medical facility and deliver exceptional customer service.

This position is responsible for managing patient inquiries, scheduling appointments, and maintaining accurate medical records.

The Front Office-Medical Assistant assists in the provision of direct patient care within the regulatory scope of practice.

The ideal candidate will possess excellent communication skills, attention to detail, and a friendly demeanor to ensure a positive patient experience.

Principal Responsibilities :

  • Greet patients in a professional and courteous manner, both in person and over the phone.
  • Schedule appointments, diagnostic tests, and coordinates with healthcare providers and other staff members.
  • Verify patient demographics, insurance information, and medical history during registration.
  • Collect co-payments, process payments, and assist with insurance billing inquiries.
  • Answer phones, respond to patient inquiries, and relay messages to healthcare providers and staff members.
  • Maintain patient records, including updating personal information and documenting communications.
  • Performs routine (noninvasive) patient care functions as prescribed by licensed health care personnel following established clinic policies and procedures within defined scope of education, training and responsibilities.
  • Collects and records patient data including height, weight, BMI, temperature, pulse, respiration rate and blood pressure, pulse oximeter, and peak flow measurement.

  • Performs lab tests, including finger sticks, after appropriate training and verification of competency.
  • Ensure waiting areas are clean, organized, and welcoming for patients.
  • Assist with administrative tasks such as filing, faxing, and scanning medical records.
  • Adhere to confidentiality and HIPAA regulations when handling patient information.
  • Applies principles of aseptic technique and infection control per policy and procedures.
  • Provides basic health information and education to patients using established policies and procedures.
  • Prepare examination rooms by ensuring cleanliness and stocking necessary supplies.
  • Document patient information, medical history, and treatment plans accurately in electronic health records (EHR) systems.
  • Participates in assigned staff and other meetings, including quality improvement, case conferences and in-service meetings.
  • Participates in all safety programs, which may include assignment to an emergency response team, 18. Performs other duties and tasks as may be required or assigned.

Requirements :

  • High School Diploma or GED
  • Graduation from an accredited Medical Assistant school with a current MA certificate
  • Verification of appropriate hours in approved Medical Assistant course to perform venipuncture
  • Current BLS certificate from the American Heart Association
  • Previous experience in a medical office or healthcare setting, preferably in pediatrics.
  • Two years’ experience in an ambulatory clinic preferred
  • Ability to multitask in a fast-paced environment while maintaining professionalism and empathy.
  • Strong communication and interpersonal skills with the ability to interact effectively with patients and healthcare professionals.
  • Ability to multitask, prioritize responsibilities, and work efficiently in a fast-paced environment.
  • Bilingual (English / Spanish) preferred.
