Calli is looking for a Mental Health Client Relations Specialist II to work at our mid-sized, fast-paced, friendly and compassion-oriented mental health clinic in Maple Grove.

The Calli Institute is the premier outpatient mental health practice serving the entire metro area as well as Central and Northern Minnesota.

Calli offers a range of mental health services including medication management, psychological testing and psychotherapies for individuals, couples, families, and groups.

As a member of the administrative team, you are an integral part of our success as you are often the first person our clients speak with or meet at Calli.

Responsibilities

New Client intakes

  • Gather needed information from initial callers to best determine service needs
  • Identifies appropriate provider and schedule initial appointment
  • Secure information pertinent to the initial patient visit and coordinates all outgoing and incoming new client registration paperwork
  • Verify insurance coverage
  • Enter new client information into EHR system and initiates appropriate pre-appointment clinical measures.
  • Request internal and external records as needed
  • Refer to other programs or community agencies when Calli services are not appropriate
  • Re-direct calls to emergency services if needed.
  • Communicates regularly with providers to ensure a comfortable case load.

Client Relations

  • Greet and assist clients in the office
  • Answer phones, schedule appointments, process client payments
  • Enter and scan new client information into electronic health record as well as the scanning of documents related to client care
  • Fax documents between outside providers and The Calli Institute
  • Facilitate thorough and timely communication between clients and providers
  • Maintain accurate client accounts by obtaining and updating demographic information as necessary
  • Process record requests when needed
  • Other duties as assigned

Position Requirements

  • 1-2 years’ experience working an administrative position in a healthcare setting, with at least a basic knowledge of health insurance, electronic medical records, HIPAA, etc.
  • Clear and warm communication skills, both spoken and written
  • Ability and desire to work on a collaborative team
  • Ability to multi-task and pay attention to detail
  • Flexibility / Adaptability
