News Administrative Assistant
WESH 2 / CW18 is seeking a News Administrative Assistant to support the News Director and other newsroom personnel in meeting the administrative needs of the News Department.
This individual is a key member of the news team charged with ensuring the department operates smoothly from an administrative standpoint.
You will also serve as a liaison to other Station departments. You have a passion for Central Florida news and issues in our local communities because you will also assist the assignment desk in short term and long term planning.
You should have the ability to build a diverse and robust rolodex. You must possess excellent and positive communication skills and interact well with others.
Trustworthiness is a key trait as this individual will be exposed to highly confidential information. You will report to the News Director.
Job Responsibilities :
- Take part in recruiting and onboarding new hires; provide training for new hires in various systems including ADP, Concur and When 2 Work
- Help manage WESH 2 / CW18 LinkedIn account. Post job openings and help with recruiting efforts.
- Enthusiastically communicate various station and companywide opportunities and initiatives
- Liaison between News Department and all other WESH 2 / CW18 departments
- Assist newsroom supervisors with weekly ADP timecard approvals and submissions
- Make travel arrangements for employees, candidates and consultants
- Help news managers with expense reports
- Oversee ordering and delivery of office supplies for News Department
- Help bureau crews with supplies and any other needs
- Provide administrative support when needed to other departments and projects
- Assist news managers with logistics for big events including specials, elections, hurricanes, and other projects
- Manage licensing requests for WESH 2 News footage
- Work with News Director to respond to subpoenas
- Help catalog historical video files
- Cell phone management of all newsroom employees
- Manage WESH internship program and Emma Bowen Fellowship
- Prepare items for job / internship recruitment efforts
- Review, research and respond to all talent appearance requests
- Retrieve, sort and distribute mail to newsroom and manage newsroom mailboxes
- Answer viewer phone calls, mail, and email
- Inventory, order, and budget control of office supplies
- Monitor department appliances and make sure they are in working order, maintained and cleaned out.
- Keep up with news department bulletin boards
- Handle credentialing for News Department for Kennedy Space Center, NASA, courthouses, political and tight security events
- Respond to News employees’ questions or requests
- Plan News department parties, lunches, dinners and help the General Manager’s Executive Assistant with annual station
- Acknowledge employee special events ie : birthdays
- Order cakes, gifts, and flowers
- Provide switchboard relief or extra assistance to GM’s Exec. Assistant
- Any other task assigned my news managers
- In-person attendance required

- Must be flexible with hours for Election and Hurricane coverage
- 1-2 years working in a fast-paced office environment
- Proficient in MS Office; Excel, Word, PowerPoint
- Familiarity with writing news copy, ENPS, Adobe Premiere and non-linear video editing a bonus
