Overview
As a Tax Team Administrative Assistant, you handle complex situations and multiple responsibilities while simultaneously managing long-term projects and the immediate needs of supervisor’s direct organizational functions, including scheduling, managing calendars, and overseeing invoicing.
Roles You Will Play
The Right-Hand Person
- Maintain meeting calendars, coordinate schedules, reserve conference rooms, and organize travel arrangements for the team.
- Assist with day-to-day projects, departmental goals, and prioritization of professional and personal commitments.
- Represent the team internally and externally with utmost confidentiality.
The Task Master
- Manage administrative duties, including mailings, tax payments, organization, scanning, and document storage.
- Review and process service provider invoices, ensuring accuracy and timely processing, and track tax payment requests to internal teams.
- Maintain data integrity in accounting or tax systems, update tax filing trackers, and run necessary accounting reports.
- Upload and manage accounting and tax information on various service provider and investor portals.
- Support federal, state, and local tax filings and manage documentation, including certified mail records.
- Compile and prepare information for IRS audits, transaction due diligence, and financial statement audits.
- Log and track tax notices, submit expense reports, and provide general administrative support.
The Communicator
- Draft and prepare various communications, presentations, and meeting minutes.
- Liaise between internal and external parties on behalf of the team to streamline communications.
- Develop and maintain strong internal and external working relationships.
