Position Overview
Reporting to the Director of Admissions, the Associate Director, Graduate School of Nursing & Health Professions works to accomplish admissions goals and objectives.
Working closely with the Director of Admissions and AU Admissions colleagues, the Associate Director participates in the design, assessment, and implementation of a successful admissions and recruitment plan that meets designated enrollment goals for the Graduate School of Nursing & Health Professions (GSNHP).
The Associate Director collaborates with Admissions and other campus departments to support an effective prospect management system and admission application system.
The Associate Director assists the Director of Admissions with the overall successful operation, training, and monitoring of admissions, as well as coordinates with academic departments to implement student enrollment strategies and manage resources to meet enrollment expectations.
Duties and Responsibilities
Supervisory Duties 50%
Assists Director of Admissions in supervision of all GSNHP support staff responsibilities including : planning, assigning and directing work;
weekly meetings, acts as back-up for approving time, addressing complaints and resolving problems as assigned, etc.
- Responsible for conducting one-on-one weekly meetings with AU GSNHP admissions counselors and reviewing all student files for the next term start.
- Responsible for hosting admissions team meetings as assigned.
- Regularly meet with members of the admissions leadership team to collaborate on admissions strategies and effectiveness towards meeting university revenue goals and promoting the university mission.
Cross-Departmental Collaboration 10%
- Develop and finalize the admissions criteria with the Dean and program leaders; ensuring admissions staff is fully trained and aware of all program details, any changes and / or updates to the application, requirements, or program credentials.
- Contributes to the development and execution of effective recruitment and marketing initiatives by partnering with marketing and financial aid.
- Develop and coordinate alumni, faculty, and student recruitment networks.
- Lead and participate in cross-functional team to develop standard operating procedures guide for GSNHP Admissions.
- Serves as a liaison to all GSNHP department chairs, faculty, integrated student services, and marketing to ensure communication and collaboration.
- Work closely with several key collaborators : Admissions Counselors, Recruiters, Faculty, Financial Aid, etc., on campus-wide tasks and attend meetings as needed.
- Work cooperatively and interface on admissions policies and procedures with Department Chairs, Financial Aid Office, Office of the Registrar, Faculty, Administrative Services, and Fiscal Office.
- Responsible for meeting with all admissions and financial aid teams weekly; incorporating financial aid data into new student projections.
Planning and Strategy 10%
- Responsible for building and strengthening relationships with organizational partnerships, community colleges, and other educational institutions that can serve as feeder schools for the nursing and allied health programs.
- Responsible for developing relationships with hospitals, clinics, and healthcare organizations to create pipelines for student recruitment.
- Plan and implement student recruitment strategies and activities for all GSNHP programs, including but not limited to, student searches, college fair attendance, and on-campus visit programs.
- Planning and participating in awareness campaigns to inform potential students about GSNHP and its unique offerings through strategic planning, partnerships with community colleges, and other organizations.
- Establish and maintain communications with local institutions and outside organizations to develop lead sources for potential students.
- Collaborate with the Director on the development of long-range goals and plans for GSNHP admissions and recruitment in consultation with program Chairs, Faculty, and Provosts.
- Responsible for participating in GSNHP departmental meetings and generating ideas / initiatives that will grow enrollment.
- Responsible for overseeing GSNHP recruitment efforts in the Ohio area and newly established markets.
- Plans and coordinates recruitment trips to assigned territories.
- Regularly evaluate recruitment practices and protocols for effectiveness and propose changes to the Director of Admissions.
- Assists GSNHP admissions counselors with reviewing admitted students for the next term and spearheading campaigns to grow enrollment.
- Organize and host information sessions, webinars, and campus visits to engage with prospective students and provide them with detailed information about the program.
Reporting 10%
- Provides regular reporting and other statistical data as needed to support GSNHP enrollment initiatives.
- Responsible for dissemination of reports and updating enrollment reports and projections weekly after conducting new student review with GSNHP AU counselors to ensure admissions meets quarterly / yearly goals.
- Ensure quality control within and between all Enrollment Management student information systems.
- Provide Executive Director of Admissions and Director, Admissions with weekly reports incorporating forecasting / projections for the next term start.
- Provides weekly reports to the Director of Admissions in advance of and for the preparation of the weekly enrollment meetings.
Training 10%
- Train the new admissions staff on the specific requirements, expectations, and nuances of the nursing and allied health program to ensure they can effectively support and guide applicants.
- Develop GSNHP training materials and conduct admissions trainings that will be part of the admissions training program.
- Act as a coach to help support staff sustain good performance, develop new skills, or improve performance when necessary by providing effective feedback in the following areas : No less than three admissions appointment observations per campus per month.
- Conduct admissions trainings as assigned.
- Responsible for creating and conducting trainings for all GSNHP admissions counselors that will improve the lead to enroll conversion rate and the start rate conversion.
- Provide oversight of compliance with student enrollment processes, including inquiries, phone screens, and interviews.
- Assist Director of Admissions with management of counselor communication strategies.
Miscellaneous 10%
- Make decisions in the absence of the Director of Admissions.
- Designated as secondary approver of timecards.
- Perform project leadership responsibilities as assigned.
- Provides performance feedback and input in the appraisal process for the admissions team.
- Periodically audits records to ensure and maintain data integrity.
- Represents the University at outside events as needed.
- Participates actively in committees and other university functions requiring departmental representation as needed.
- Offer support for students in preparing their applications, including assistance with prerequisites, transcripts, and other required documentation.
- Collaborate with the Director of Admissions to interview, recruit, and hire new GSNHP admissions staff.
- Performs other duties as assigned.
Qualifications and Experience
Bachelor’s degree from an accredited college or university and 5 years of experience in university level admissions processes or related job discipline, including experience in Nursing & Allied Health admissions;
Master’s degree preferred.
- Proficient in Microsoft Office, experience with SIS / ERP and CRM software. Datetel Colleague and Salesforce experience a plus.
- Demonstrated experience in relationship building, report building / maintenance, and the use of data-driven decision making for planning and strategy development.
Knowledge, Skills and Abilities
- Knowledge of University processes and procedures. Knowledge of and ability to learn, interpret, and apply University policies, procedures, rules and regulations related to admissions, graduation, transfer, and enrollment.
- Working knowledge of CRM lead / prospect management systems.
- Demonstrated record management experience. Proven skill in developing and maintaining accurate, organized records, files, and filing systems.
- Strong writing skills to compose correspondence, informational materials, etc., using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
- Excellent verbal communication skills, including effective public speaking. Ability to express verbally one’s position, plan of action, evaluation, or interpretations in a professional, concise, and courteous manner.
- Strong organizational and planning skills and ability to take initiative, prioritize work and manage time effectively in a fast-paced environment.
- Proven experience using standard and specialized office computer technology, including email, databases, web-based applications, and proficiency in Excel and Word.
- Demonstrated proficiency in application of practices and processes for enrollment and retention policies and practices.
- Possess excellent customer service skills to interact positively with internal and external customers.
- Excellent interpersonal skills to interact professionally and effectively with a diverse population.
- Ability to interact with tact, patience, and diplomacy in a variety of situations.
- Ability to exercise independent initiative and sound judgment within general guidelines, with the acumen and sensitivity to identify those decisions and activities which require higher-level approval, consultation, and / or group collaboration.

Hours of Employment
This is a full-time, exempt position serving a national university which operates in multiple time zones. A work schedule will be established in consultation with the supervisor.
Occasional evening and weekend hours may be required. Travel may be required, as appropriate.
Location
Hybrid position, must be based in the greater Columbus-Dayton Ohio areas. Some travel required. Must have valid Driver’s license; access to vehicle.
