Professional Administrative Assistant
Certified Mobile Notary Service ( https : / / certifiedmobilenotaryservice.com ) is now in search for a Professional Administrative Assistant to work virtually in the U.S. only.
JOB TYPES : Full-time; MUST be a U.S. citizen.
RESPONSIBILITIES :
- Calendar Management (for multiple departments, Legal, Meetings, Property Management, etc.).
- Scheduling appointments (Attorneys, Appraisals, Engineers, Mobile Notaries, etc.).
- Virtual Filing : Organize, coordinate, and maintain all client paperwork in our internal Dropbox™.
- Document Preparation : Pull clients' personal information from our internal systems and Property information from various websites
- Expense Processing : Transferring invoices, credit cards transactions, etc. to our account spreadsheets.
- Phone inquiries for research that is requested (Calls to Mortgage Lenders, Creditors, etc.).
- Call clients to provide weekly / monthly updates as needed.
QUALIFICATIONS / SKILLS :
- Minimum of 2 years of administrative assistant experience.
- Proficient in Microsoft 365.
- Detail-oriented with strong organizational skills.
- Strong self-starter, personal accountability, analytical thinking, problem-solving, and time and priority management skills.
- CRM experience is a plus!
- Must be tech-savvy : we are highly automated, so you will have to keep up with workflows that are automated and systems that are online and dynamic.
- Must follow procedures and processes but also not be afraid to ask questions.
JOB REQUIREMENTS : Computer, Internet, and a home office set-up.
PAY : $15.00 - $25.00 per hour
