The Executive Assistant will provide high-level administrative support to the Executiveand other Executive Team members.

Responsibilities :
- Provide comprehensive administrative support to the Executive, including managing calendars, scheduling meetings, and organizing travel arrangements
- Act as a liaison between the Executive and internal / external stakeholders, demonstrating professionalism and discretion in all interactions
- Prepare and edit correspondence, presentations, and reports on behalf of the Executive, ensuring accuracy and attention to detail
- Manage sensitive matters with a high level of confidentiality and discretion
- Sustain a daily calendar of meetings and events; organize complex calendars and schedules, resolving any scheduling issues
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
- Arrange travel and accommodations for executive team members
- Prepare and manage expense reports
- Draft and prepare correspondence for internal announcements, board meetings and executive communications
- Facilitate communication flow within the executive team and across departments, ensuring alignment on priorities and deadlines
- CoOrdinate leadership meetings, compile agendas, and capture meeting minutes, following up on action items as needed
- Assist in preparing and managing presentations and decks
- Be responsive to emails / texts / phone calls with contact outside normal business hours
- Use discretion, confidentiality and good judgement to handle C-Level matters
- Excellent communication and time management skills; proven ability to meet deadlines
- Represent the company in a positive light through great follow-through skills and sound judgement
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives
- Take ownership of special projects and initiatives as assigned, overseeing timelines, coordinating resources, and driving execution to completion
Requirements :
- Bachelor’s degree or equivalent experience
- 5+ years of related experience supporting C-Level executives
- Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint and Word)
- Ability to communicate effectively and professionally
- Flexible hours as dictated by business needs
- Must be located near Corporate Offices in either Chicago, Houston, or Savannah
