Receptionist / Executive Assistant

The Receptionist / Executive Assistant provides general support to several Sr. leaders and performs a variety of administrative day-to-day tasks in support of the business. Additionally, this position will be responsible for assisting with the planning and execution of events, entering program rewards, processing business unit invoices, and acting as back up for mail processing. This is a full time, on-site position.

Essential Duties and Responsibilities :

  • Answering phone calls, and greeting clients as they enter.
  • Act as back up to the office manager, including front desk assistance and processing mail and overnight shipments as needed.
  • Provides day-to-day administrative support to executive leaders, including PowerPoint presentations and other correspondence as needed.
  • Provides calendar management, travel planning and meeting coordination.
  • Processes and maintains T&E expenses.
  • Coordinates conference room set-up and schedules catering as needed.
  • Researches, prioritizes, and follows up on issues independently and determines appropriate course of action.
  • Assists with various company processes upon requests.
  • Assists with planning and execution of employee and client events.
  • Friendly voice and pleasant tone over the phone and in person.
  • Maintains a continual working knowledge of our client's products, services and promotions.
  • Delivers service utilizing prescribed standards to supply accurate information to callers and resolve their issues.
  • Retrieves information from company systems (based on customer inquiry) and communicates information back to the customer in a clear and educated manner.
  • Arranges gifts on behalf of the Company within budget and the Code of Conduct
  • Processes business invoices as designated
  • Other miscellaneous job-related duties as assigned.

Knowledge, Skills and Abilities :

  • High School Diploma or equivalent work experience. Bachelor's degree a plus.
  • 3+ years of work experience as an Executive Assistant and demonstrated ability to accomplish duties listed in the job description.
  • Ability to organize, prioritize and schedule work assignments.
  • Ability to handle multiple, simultaneous, and complex tasks effectively and efficiently.
  • Advanced verbal and written communication skills and the ability to work with all levels of employees.
  • Demonstrated advanced computer proficiency, including MS Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Must be available for occasional after-hours calls or emails
  • Pay Range : $36 - $43 an hour and will depend on several factors including relevant experience, skills and knowledge pertaining to this role and industry.
