Program Coordinator-Building Togetherness
The Building Togetherness Program Coordinator provides both operational and programmatic leadership to ensure the successful planning, coordination, and execution of curriculum, events, and family engagement initiatives. This role balances logistical management with program development, supporting directors, staff, families, and external partners across the academic year.
This position will drive success in the following areas to achieve grant outcomes related to the Building Togetherness program.
Key Responsibilities
Program & Curriculum Support
- Ensure teaching and family engagement materials are well-prepared, culturally relevant, and easy for staff and families to use.
- Order, track, and distribute materials for seasonal units, multicultural resources, and parent engagement activities.
- Ensure timely communication with directors and staff regarding seasonal expectations and upcoming units.
- Research, select, and maintain titles for family lending libraries, including parent guidance resources.
- Review, edit, and update teaching materials, lessons, parent letters, and training resources on SharePoint in partnership with Education Specialist.
- Develop observation rubrics, training content, and video libraries for staff and families.
- Collaborate with research consultants on surveys, reporting, and program evaluation.
- Incorporate feedback from scholars and diverse community input to ensure cultural responsiveness in materials. Review survey results to improve program quality.
Family Engagement & Event Coordination
Strengthen the YMCA's presence and value with families and the broader community.Create and manage annual calendars of Building Togetherness events across departments (Apple Picking, Festival of Lights, Carnivals, Movie Screenings, etc.).Develop communication templates, attendance expectations, and director and / or staff facilitator guidelines for events.Coordinate logistics for events, including invitations, VIP outreach, transportation, food ordering, books, and giveaways (e.g., honey, T-shirts, student gifts).Design and support event materials, including decor guidelines, trifold boards, and marketing collateral (in partnership with Marketing).Capture and share event highlights for use on websites and publications.Administrative Support
Manage the operational and compliance tasks to ensure the program runs smoothly and meets funder requirements.Maintain master lists, reports, and resource guides to support staff and directors, ensuring reporting deadlines are met.Manage grant budget; ensuring spending is within grant guidelines and utilized in a timely manner.Responsible for ordering supplies, approving decor lists, and maintaining SharePoint resources as they relate to Building Togetherness.Serve as a key point of contact for vendors, VIP guests, and external partners.Provide additional grant support to the leadership team as needed.Skills, Knowledge & Expertise
Qualifications :
Bachelor's degree in Education, Nonprofit Management, Business Administration, or related field. Minimum 2 years of experience in program coordination, event planning, or administrative management. Experience with multicultural materials and culturally responsive programming preferred. Strong organizational and project management skills, with the ability to manage multiple priorities across at once. Excellent communication skillsboth written and verbal. Proficiency with Microsoft Office, SharePoint, and project management tools.
Work Environment : Occasional evening and weekend hours may be required to support events, training, or family engagement activities. Must be able to travel between YMCA locations, program sites, and administrative offices.
Physical Demands : The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Ability to physically and verbally interact with youth, families, and staff in a variety of educational and recreational environments. Ability to lift amounts up to 20 pounds.
