Job Description :

General Summary : Seattle Pacific University is seeking an organized and detail-oriented Administrative Assistant to support the Office of the Vice President for Academic Affairs.

The Administrative Assistant will provide a range of administrative and clerical duties to ensure efficient operation of the office.

The ideal candidate will be a proactive professional who demonstrates strong interpersonal skills and a commitment to the University's Christian mission.

Job duties include :

Serve as the front-line presence for the CAO office, welcoming visitors and callers, providing appropriate information, and managing front desk coverage from 8 : 00 a.

m. to 5 : 00 p.m. daily.

  • Provide administrative support to the Provost and the Executive Assistant to the Provost, including correspondence, mailings, filing, scheduling appointments, and managing confidential calendars.
  • Coordinate and host for the Office of the Provost, including ordering, stocking, and preparing awards, certificates, and supplies.
  • Manage responsibilities for emeriti faculty, including newsletters and directories.
  • Update the Provost and event webpages, and maintain the faculty events calendar in EMS, scheduling meeting spaces as needed.
  • Maintain office supplies and refreshments for meetings in the Executive Suite.
  • Supervise the work of the CAO student employee.
  • Assist with event planning for academic events, lectures, retreats, and other special events, requiring periodic extra hours.
  • Perform word processing, data entry, minute-taking for meetings, and processing financial documents, including monthly purchasing card statements and budget tracking.
  • Assist in maintaining faculty records, advertising open faculty positions, and performing specific projects as assigned by the CAO and / or Executive Assistant.

Requirements :

Minimum one year of experience in an administrative position (experience in higher education preferred).

  • Strong interpersonal skills and ability to work in a team setting.
  • Strong attention to detail with excellent written and verbal communication skills.
  • Strong organization and project coordination skills with an ability to effectively manage multiple priorities.
  • Willingness to work flexible hours during peak periods and special events.
  • Professional demeanor and ability to maintain office decorum.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, etc.).
  • Active and maturing Christian faith, knowledge of and commitment to actively support the Christian mission of the University and accept the lifestyle standards of the Christian community.

Additional Information :

Position will remain open until filled.

Rate of pay : Commensurate to experience, starting at $22.00 per hour.

This is a full-time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance.

SPU makes generous contributions to an employee HSA account and a 7% contribution to a retirement account, for eligible employees, with immediate vesting in the plan.
