We are offering a contract to hire employment opportunity for a PART-TIME (25-35 HOURS A WEEK, MONDAY-FRIDAY ONSITE) Executive Assistant in Chicago, Illinois.
The Executive Assistant will be a key part of our team in the industry, performing a variety of administrative and coordination tasks.
The role involves managing communication, handling scheduling, and ensuring the smooth operation of the office environment.
Responsibilities :
- Efficient scheduling of travel and appointments, ensuring all arrangements are well-coordinated.
- Sorting and filing emails and daily mail, ensuring all documents are appropriately organized.
- Handling the payment of company and household bills in a timely manner.
- Creating and implementing forms and processes related to operations and HR, contributing to the efficiency of these functions.
- Maintaining office supplies and scheduling necessary repairs or replacements.
- Liaising between staff and tech solutions provider to resolve tech issues.
- Coordinating with contractors for property maintenance and development projects.
- Managing bookings for rental homes and coordinating with contractors for property maintenance.
- Taking over administrative functions from team members as required, ensuring seamless transition of responsibilities.
- Utilizing skills in ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, Correspondence, and Daily Mail.
- Proficiency in using ADP - Financial Services for business operations
- Familiarity with Cisco Webex Meetings for virtual meetings and conferences
- Experience using Concur for travel and expense management
- Knowledge of CRM (Customer Relationship Management) systems for managing customer interactions
- Familiarity with Kronos Timekeeping System for managing employee time and attendance
- Proficiency in using About Time for mobile time tracking
- Excellent Calendar Management skills for scheduling and organizing meetings
- Strong Communication skills for effective internal and external interactions
- Experience in managing Conference Calls for group discussions
- Ability to handle Correspondence professionally and efficiently
- Responsibility for managing Daily Mail and Deliver Mail tasks effectively
- Ability to maintain confidentiality and handle sensitive information in a professional manner.
