Executive Assistant TS/SCI - Security Clearance Required

POSITION SUMMARY :

As the Executive Assistant supporting DoD Chief Information Office (DoD CIO) you will provide calendar scheduling and oversight, suspense tracking, workload prioritization, communications, word processing and correspondence management to support the OSD mission.

Day to day responsibilities include but are not limited to :

• Assist government personnel with administrative systems, file systems, records management and read ahead binders
• Manage calendar and schedule to adjust for short notice changes and / or higher priority tasks
• Operational duties related to human resources, IT, security, and facilities management :
• Answering and routing phone calls and greeting / escorting guests
• In-processing new personnel (DD1172, DD2249, DD2875)
• Requesting and managing all government furnished equipment for new employees
• Suite access, SCIF maintenance, and burn bag destruction
• Resolution of IT and network issues
• Off-boarding departing personnel
• Review correspondence documents to the appropriate offices and / or personnel for response through the Correspondence and Task Management System (CATMS)
• Develop, monitor, update, implement, and maintain an internal suspense tracking system for correspondence, memos, letters and other documents and projects received
• Adhere with DoD 5110.4-M Vol 1 DoD Manual for Written Material : Correspondence Management and DoD 5110.4-M Vol 2 DoD Manual for Written Material : Examples and Reference Material when writing documents, correspondence or other written materials
• Other duties as assigned

THIS POSITON REQUIRES ON-SITE work and is not open to hybrid or remote work options.

Required Qualification :

• Bachelor’s degree plus at least 5 years of related experience or HS Diploma with at least 9 years of related experience
• Top Secret clearance with SCI required at date of hire
• Demonstrated expert level knowledge and execution of the English language for the formulation of all DoD correspondence mediums, (e.g, email and memos)
• Demonstrated experience supporting in an Office of the Secretary of Defense (OSD) / Joint Staff / Interagency environment
• Knowledge of the structure and missions of the OSD and the Components
• Demonstrated high proficiency with the Microsoft Office Suite of applications, especially Word, PowerPoint, and Teams.

Preferred Qualifications :

Demonstrated experience and ability to work in a fast-paced team environment, adapt to rapidly changing requirements, and multi-task capabilities.
