Job Description :
As a Scheduler / Appointment Setter at Testa Financial Group, you will play a
pivotal role in supporting our senior representatives by efficiently managing their schedules and
facilitating client appointments. Your primary responsibility will be to coordinate and schedule
meetings between our senior representatives and prospective or existing clients, ensuring a
seamless and organized process.
Hour of Operations :
Monday - Friday 10 : 00am to 5 : 00pm
Key Responsibilities :
1. Schedule Management : Coordinate appointments, meetings, and calls for senior
representatives based on availability and client preferences.
2. Client Communication : Communicate with clients via phone, email, or other channels
to confirm appointments, gather necessary information, and provide exceptional
customer service.
3. Calendar Maintenance : Maintain accurate and up-to-date calendars for senior
representatives, ensuring all appointments are properly scheduled and documented.
4. Database Management : Update and maintain client databases with relevant
information, including appointment details, contact information, and notes from
interactions.
5. Follow-up : Conduct follow-up calls or emails to confirm appointments, reschedule as
needed, and address any client inquiries or concerns.
6. Collaboration : Work closely with senior representatives and other team members to
prioritize appointments, optimize scheduling efficiency, and support overall business
objectives.
7. Administrative Support : Provide administrative assistance to senior representatives,
such as preparing meeting materials, organizing documents, and performing other tasks
as needed.
Qualifications :
Previous experience in scheduling, customer service, or administrative support roles
preferred.
Excellent communication skills, both verbal and written, with a professional and
courteous demeanor.
Strong organizational skills and attention to detail, with the ability to manage multiple
tasks simultaneously.
Proficiency in Microsoft Office Suite and scheduling software (e.g., Microsoft Outlook,
Google Calendar).
Ability to work effectively in a fast-paced environment, adapt to changing priorities, and
meet deadlines.
A proactive and collaborative approach to problem-solving and teamwork.
Commission :
Based on the amount of Appointments scheduled.
Based on the amount of accounts closed by the Senior Representative you schedule
appointments for.
Promotional Opportunities :
Senior Scheduler / Appointment Setter : After gaining experience and demonstrating
proficiency in the role, you may be promoted to a senior position where you take on
additional responsibilities such as mentoring new hires, assisting with scheduling
strategy, and handling more complex client interactions.
Team Leader / Supervisor : If you demonstrate strong leadership skills and the ability to
mentor and motivate team members, you may be promoted to a supervisory or team
leader position. In this role, you would oversee a team of schedulers / appointment
setters, providing guidance, support, and performance feedback to ensure the team
meets its goals.
Representative Associate : With additional training and qualifications, you could
advance to a role as a representative associate, where you work alongside a Senior
representative learning the ropes on providing comprehensive financial solutions and
investment advice to clients. This role involves assessing clients' financial goals,
developing customized strategies, and helping clients achieve their long-term objectives.
Junior Representative : As a junior representative you will now be given opportunities to
take on your own clients, with the assistance of a senior representative for guidance and
mentorship. This position allows you to build your own client relations as well as
sharpening your skills for even more growth in the company.
