We are looking for an Executive Assistant who has meticulous attention to detail, combined with the ability to understand the issues at hand and work diligently to resolve them in order to support the Owners / Managing Partners.

This role also requires skills to provide clients and potential clients with the ultimate customer service experience and handle very important executive support tasks.

Doing this job well requires the right combination of empathy, strong written and verbal communication skills, attention to detail, and technical skills.

You'll play an integral role in helping the Owners / Managing Partners grow the business.

We are growing fast, and we are investing time and energy in building our A-Team. We are looking for someone who can hit the ground running.

This is a career position, but not ideal as a first professional job.

Salary is commensurate with skill and experience and is negotiable. There will be opportunities for merit bonuses.

Responsibilities :

This important position involves critical administrative duties in support of Owners / Managing Partners. The Firm is growing quickly, and we need front-line support to keep the trains running on time."

The basic duties of the position are :

  • Scheduling and ensuring Owners / Managing Partners’ calendars are up-to-date and organized
  • Triage of Owner’s emails and phone calls and act as a first responder to independently handle issues that do not need to be escalated to the Owners
  • Arrange and book travel, transportation, and accommodations for the Owners and staff
  • Organize events and conferences
  • Approaching tasks with a sense of urgency and strategic thinking to determine next steps
  • Understanding the important role of being delegated to and being able to delegate to others to complete meaningful, time-sensitive work
  • Calendaring deadlines reminders
  • Outreach to existing and potential planning partner sources
  • Sending letters, notecards, emails, newsletters, and thank you cards
  • Making copies / scanning documents

This is a key position in the firm. It is a full-time job, so you MUST be able to work in this role full-time.

  • Customer service and administrative experience in an office is required. Legal experience is a plus.
  • You will be working on many tasks concurrently sometimes over long periods of time. We expect you to keep track of key dates, keep the right people informed, and prioritize your time so that we never miss a deadline.
  • You must be comfortable with a computer and common office applications (Word, Outlook email calendar, Google, and so on).
  • Experience with legal case management software is a plus.
  • You must have excellent spelling and grammar.
  • You must possess strong communication skills.
  • A penchant for accuracy and attention to detail are required to avoid mistakes that can cost clients (and us) dearly.
  • You MUST be a positive person. If your middle name is Drama, you will not be successful here.
  • You should be punctual and ensure the utmost confidentiality.

Qualifications :

  • You must be a positive, high-energy team player who is results-oriented No Drama!
  • You must care about something and have goals in life
  • Possess a high school diploma, G.E.D. or equivalent
  • Comfortable meeting deadlines and handling confidential information
  • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills
  • 2 or more years as an assistant, executive assistant, or in a position performing supportive duties
  • Must be comfortable using Microsoft Office
