Executive Assistant (Seattle, WA)

The Executive Assistant to the CEO will provide direct administrative and project management support to the CEO by creating and preparing agendas, presentations, documents, spreadsheets, logs / databases, and schedules;
tracking action items; managing the CEO’s calendar; making travel arrangements; and, identifying issues, conducting research, developing options / solutions and providing advice and recommendations.
This role will also be responsible for facility management (Seattle & Summit offices) and support to People Operations and Executive Team for adhoc requests.
The successful candidate will be proficient in Microsoft Office Suite of products (Outlook, Word, Excel, and Power Point), and Adobe Acrobat.
Advanced Microsoft Office skills with an ability to adapt and learn other programs strongly preferred.
Essential Job Functions
- Enhances the work of the CEO and Executive Team through general assistance and organizational support on a daily basis to include day to day interaction and facilitation of internal and external request and various aspects of interdepartmental communication
- Coordinates and manages the CEO’s schedule by planning and scheduling meetings, conferences, teleconferences, prioritizing functions and appointments, ensuring that meetings, deadlines, presentations and logistics are handled seamlessly
- Support Executive Team meetings and events and coordinate with People Operations to ensure major events are planned and scheduled for annual calendars including BOD meetings and strategic planning off-sites
- Keeps notes on major projects, after meeting action item reports, and other reports and updates that keep the CEO informed at all times on the status of assignments, projects and general operations
- Sets up and plans senior staff meetings, all-staff meetings, and business trips to include travel logistics, agenda preparation presentations and general flow to ensure successful outcomes of every meeting
- Creates spreadsheets and charts, PowerPoint presentations, visual representations and diagrams
- Coordinates workflow and communications between departments, vendors, and regional offices to support day-to-day administrative and operational process.
- Maintain, order and receive office supplies, including organization and neatness of supply area and inventory.
- Directs, monitors and / or contributes to special projects and other planning initiatives that are highly complex and involve oversight of the Office of the CEO.
- Provide general administrative support to the People Operations team, onsite event management, and maintaining personnel files and documents.
- Ensure the timely collection and distribution of office mail and PO Box mail.
Work Environment
This job operates in a professional office environment and will be required to work from the Seattle office at least 2x / week and on requested occasions.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
